Join Our Team as a Veterinary Client Coordinator

Are you passionate about helping people during some of the most difficult moments they experience with their pets? We’re looking for a compassionate, emotionally intelligent Veterinary Client Coordinator to serve as the bridge between our medical team and pet families in our fast-paced 24/7 emergency and specialty veterinary hospital.

In this unique client-facing role, you’ll provide guidance through treatment plans, explain medical estimates, assist with payment options, and support families during end-of-life decisions with empathy, professionalism, and kindness.

Some of the responsibilities you will own in this role:


Client Care & Financial Coordination
  • Review and explain medical and surgical treatment estimates in a clear, compassionate manner.
  • Help clients understand the veterinarian’s recommendations for diagnostics, treatments, and hospitalization.
  • Discuss payment options and assist with financing applications such as CareCredit and Scratchpay.
  • Collect deposits and process payments accurately and confidentially.
  • Serve as the primary non-medical point of contact for families with hospitalized pets, providing updates on treatment plans, costs, and estimate revisions under veterinary direction.
Compassionate End-of-Life Support
  • Guide families through the euthanasia process with empathy and professionalism.
  • Explain what to expect during humane euthanasia and answer questions with sensitivity.
  • Review cremation services, memorial keepsakes, paw prints, and aftercare options.
  • Provide resources for families making quality-of-life decisions for aging or terminally ill pets.
  • Prepare and maintain comfort rooms to provide a peaceful, respectful environment for families saying goodbye.
Hospital Collaboration
  • Partner closely with emergency veterinarians, specialists, veterinary technicians, and client service teams to ensure seamless communication.
  • Help resolve client concerns, financial challenges, and emotionally charged situations with patience and compassion.
  • Maintain accurate documentation of treatment estimates, financial agreements, consent forms, and euthanasia authorizations within the practice management system.

Qualifications


Required
  • 2–3 years of experience in a veterinary hospital, human healthcare setting, hospice, social work, counseling, or another client-focused medical environment.
  • Excellent communication and customer service skills.
  • Comfortable discussing medical estimates and handling large financial transactions.
  • Strong emotional intelligence and the ability to remain calm during high-stress situations.
  • Exceptional organizational skills and attention to detail.
  • Ability to maintain professionalism while supporting grieving families.
Preferred
  • Experience in an emergency or specialty veterinary hospital.
  • Familiarity with veterinary software such as Instinct, Weave, Oliver, or other veterinary practice management systems.
  • Training or certification in veterinary grief counseling, social work, hospice, or pet loss support.
