Job Description Summary

The Research Program Manager will serve as the primary operational lead for Dr. Frederica del Monte's Heart and Brain research program. Primary responsibilities of the candidate are focused on providing direct support and guidance to Dr. del Monte, collaborating faculty within the Heart and Brain Program and staff as it relates pre and post award activities, principal investigator (PI) research portfolio oversight and management, and reporting. Other responsibilities include, but are not limited to, overseeing the daily operations of the research laboratory, supervision and performance management of applicable laboratory personnel, organization of strategic research meetings, organizing progress report meetings as needed. In collaboration with Department of Medicine's centralized and divisional financial management resources, this position is responsible for assisting with the development and submission of grant applications to include budgeting, as well as post award involvement in financial management and reporting.

This position will report directly to Dr. del Monte.

Job Description

Job Duties:

35% - Daily and Ongoing Operations: This position is responsible for oversight of the division's daily and ongoing lab operations with the overarching goal of achieving the strategic research goals and priorities of Dr. Del Monte. Responsibilities include but are not limited to:

  • Oversee the procurement pipeline for highly specialized laboratory reagents, equipment, and consumables. Submit procurement requests to the Department of Medicine Procurement Team. Monitor the status of purchase orders, coordinate vendor relationships, negotiate pricing agreements and track capital equipment inventory following all institutional policies.

  • Track stock levels to ensure essential consumables are always on hand.

  • Serve as the main point of contact for outside vendors, service technicians, and department administrators.

  • Makes recommendations for acquisition of new equipment and oversees validation and implementation of new equipment and protocols.

  • Ensures the work area is maintained in a safe and uncluttered environment and always maintains accountability for the preparation and maintenance of inspection readiness.

  • Coordinates research activities with Research Staff.

  • Responds to Safety Events and complaints in a timely manner.

  • Facilitate cross talk between project members of ongoing projects between basic/translational research and clinical research for ongoing collaborations.

  • Assist Dr. Del Monte with calendar management

35% - PI Research Portfolio Oversight and Management: Oversees the flow of research projects from planning to submission through implementation and closeout. Responsibilities include but are not limited to operations management, quality assurance, and regulatory oversight.

  • Ensures that appropriate regulatory approvals are obtained for all research activities as needed (IRB and IACUC), materials transfer/data agreements properly executed.

  • Maintains timelines, track deliverables, and support milestone achievement across multiple concurrent projects.

  • Collaborates with Department of Medicine centralized and divisional teams to successfully complete all stages of grant preparation, submission, and post-award.

  • Works closely with other institutions to submit grant proposals as appropriate.

  • Works closely with leadership in developing, modifying, and monitoring the achievement of long-term goals and objectives and in executing process improvement.

  • Works with research team to maintain organization of data and helps upload data into appropriate electronic biorepositories to comply with NIH-mandated requests

  • Work with PI to develop documents for large, programmatic grant applications and their progress reports.

10% - Data Collection, Reporting, and Manuscript Preparation: In collaboration with PIs, this position will be responsible for collecting data and analyzing data, writing, and submitting required monthly, quarterly, and annual reports (i.e., IRB) for studies under their purview, as well as assist with revisions and submissions of manuscripts generated for their assigned portfolio.

  • Ensures that information is entered correctly into databases and ensures that samples are stored appropriately.

  • Provides statistical analysis of data using statistical software and generates graphical representations of data as requested by leadership.

  • Assists leadership in reviewing, analyzing, interpreting, summarizing, formatting, editing, and preparing tables, graphs, for grant applications/progress reports, publications, and presentations.

  • Coordinates with local, national, and international collaborators to ensure successful research endeavors.

10% - Human Resources: Supervises research staff, as needed under Dr. del Monte's guidance Responsibilities include but are not limited to:

  • Provide high-level administrative support to the research program. Coordinate travel logistics within institutional guidelines and submit reimbursement requests to the Department of Medicine's Procurement Office.

  • Maintain administrative files, personnel onboarding documentation, and non-clinical institutional compliance records. Provide the Department of Medicine HR Team with copies of all HR-related documents.

  • Serve as the primary administrative liaison between the research lab and central MUSC business offices, including the Office of Research and Sponsored Programs (ORSP), Grants & Contracts Accounting, and Procurement, and Human Resources.

  • Facilitate employment interviews and participates in the selection of new employees.

  • Participates in the onboarding of laboratory staff, medical students, graduate students, post-doctoral research fellows, and volunteers.

  • Direct supervisor of laboratory staff including approving annual and sick leave and conducting yearly evaluations.

  • Monitors, regulates, and adjusts workflows to ensure tasks are completed on time.

10% - Financial Involvement: This position will be involved with financial management from a knowledge and understanding perspective so appropriate operational decisions can be made. Partnering with the Division Administrator and Department of Medicine Pre and Post Award Team is a crucial requirement so appropriate budgetary and fiscal management can be ensured. Responsibilities include but are not limited to:

  • Oversees the financial aspects of lab operations including monitoring expenses and budgets, ordering, and maintaining appropriate inventory of supplies, and providing recommendations for capital and operational budgets.

  • Partners and collaborates with the Department of Medicine Procurement Manager on all procurement related matters.

Preferred Experience, Skills, and Abilities:

  • Master's degree preferred.

  • Solid excel skills required.

  • Demonstrated experience in clinical or translational research program management, preferably in academic medicine.

  • Strong organizational, communication, and leadership skills.

  • Ability to work independently, adapt to evolving priorities, and maintain professionalism across multiple

  • Familiarity with grant funding mechanisms (e.g., NIH, foundations, industry) and financial management processes preferred.
