Job Summary
The On-Site Project Manager Assistant provides administrative and operational support for assigned projects while ensuring compliance with project requirements and organizational standards. This role is responsible for maintaining project documentation, supporting financial and administrative processes, coordinating communication among stakeholders, and assisting with project planning and execution. The position plays a key role in promoting efficiency, accuracy, safety, and quality across all project-related administrative functions.
Job Responsibilities
Provide administrative support to the project management team, including scheduling meetings, managing calendars, handling correspondence, and preparing reports.
Maintain project documentation, records, filing systems, and project-related financial documents.
Monitor project expenses, process invoices, and assist with cost tracking and financial reporting activities.
Coordinate communication between project teams, clients, vendors, and subcontractors.
Assist with project planning activities by tracking schedules, monitoring timelines, and supporting task assignments.
Conduct on-site visits to collect measurements, site information, and project data required for estimates and quotes.
Identify opportunities to improve processes, streamline workflows, and enhance project efficiency.
Perform data entry, research, report generation, and other administrative duties as assigned.
Job Requirements
High school diploma or GED equivalent.
Minimum of two years of administrative experience within construction, field service, telecommunications, low-voltage, or related industries.
Proficiency with Microsoft Office Suite, including Word, Excel, and Microsoft Project.
Strong organizational, time management, and multitasking abilities.
Excellent attention to detail and commitment to accuracy.
Strong verbal and written communication skills.
Ability to work independently and collaboratively within a team environment.
Valid driver's license and reliable transportation.
Ability and willingness to travel extensively to project sites as required, including overnight and multi-day travel. Travel is an essential function of this position.
Ability to sit for extended periods while performing administrative duties.
Ability to stand, walk, bend, reach, and navigate active project sites.
Ability to climb ladders and work in confined spaces when required.
Ability to perform work outdoors and in varying weather conditions.
Ability to safely lift and carry materials, equipment, or tools as required by project needs.
