The Transportation Coordinator plays a vital role in supporting campus transportation operations by providing administrative and customer service support to students, faculty, and staff. This position ensures the efficient day-to-day function of transportation services by coordinating communication, maintaining accurate records, and organizing schedules and logistics. The coordinator assists with transportation-related inquiries, facilitates service requests, and supports departmental initiatives to enhance accessibility, safety, and reliability across the university's transportation network.

QUALIFICATIONS:

Education

  • Requires a high school diploma with specialized training and at least two years of related experience, or an equivalent combination of education and experience.

Experience and Training

  • At least three years of experience in accounting or financial management is required; experience in transportation logistics is preferred.
  • A minimum of three years of experience in fleet management or a related field is also required.
  • Must have no misdemeanor convictions within the past five years.
  • Must have no felony convictions.
  • Must possess a clean driving record, with no major moving violations in the past three years and no alcohol-related offenses within the past ten years.

Knowledge, Skills, Ability

  • Strong verbal and written communication skills, with the ability to develop and maintain positive working relationships across the campus and with external partners.
  • Excellent organizational abilities with strong attention to detail and accuracy.
  • Proficiency with mapping and location-based tools.
  • Experience with data-management and workflow platforms is preferred.
  • Basic presentation‑software skills.
  • High proficiency in general office software, including email, word processing, spreadsheets, and data entry.
  • Knowledge of accounting systems and fundamental accounting principles, with strong numerical accuracy.
  • Ability to interpret and analyze policies and procedures.
  • Skilled in prioritizing tasks, managing workflow, and coordinating multiple activities in a fast-paced environment.
  • Strong problem‑solving skills with a positive and proactive approach.
  • Ability to operate a non‑CDL vehicle to transport passengers as needed.

ESSENTIAL FUNCTIONS:

  • Provides essential administrative and operational support for the Transportation Department.
  • Schedules full‑time and part‑time drivers for daily routes, special events, and long‑distance trips.
  • Coordinates transportation requests from students, faculty, and staff.
  • Collaborates with Campus Concierge to plan and fulfill transportation needs.
  • Supports departmental operations during university special events, including staffing and driver assignments.
  • Serves in an on‑call capacity to assist with scheduling and operational needs.
  • Prepares and processes purchase orders, invoices, and payment documents in accordance with financial policies.
  • Maintains accurate records, including financial reports, files, and departmental documentation.
  • Monitors inventory and office supplies and assists with ordering as needed.
  • Prepares travel and accommodation reports for staff.
  • Acts as a liaison with vendors and the business office regarding payments, requisitions, and account status.
  • Supports group travel planning by receiving and entering itineraries.
  • Assists with inventory control, including labeling, barcoding, and periodic counts.
  • Submits work orders for maintenance or operational needs.
  • Responds to phone calls, directs inquiries, and provides customer support.
  • Maintains vehicle registrations and oversees the departmental fuel‑card program.
  • Perform other duties as assigned by the Chief of Police.

ACCOUNTABILITY:

  • Operates under general supervision and reports directly to the Director of Transportation. Duties involve regular interaction with departmental personnel, university staff, students, and the public.
