The Transportation Administrative Assistant plays a critical role in supporting the transportation department and ensuring smooth operations for student transportation services. This position provides administrative support to the Transportation Coordinator and bus operators, assists with HR-related tasks such as recruiting and onboarding new bus operators, manages payroll for bus operators at the school level, and supports purchasing and invoice processing for transportation services.
The role involves providing comprehensive transportation support by assisting the Transportation Coordinator in managing daily transportation operations. This includes serving as a point of contact for bus operators and offering administrative and logistical support. The position requires maintaining accurate records of routes, schedules, and driver assignments, as well as utilizing transportation software to plan and optimize routes and manage student ridership data. Additionally, the role supports communication between transportation staff, school leadership, and parents when necessary.
In addition to transportation duties, the role encompasses HR responsibilities. This involves collaborating with the School Operations Administrator and Transportation Coordinator to recruit bus operators, assisting in the hiring process by scheduling interviews and collecting required documentation, and coordinating onboarding activities for new bus operators to ensure compliance with company policies and state regulations.
The position also includes payroll and financial support tasks, such as managing payroll processing for bus operators at the school level with accuracy and timeliness, supporting purchasing activities related to transportation needs, and processing and tracking transportation invoices with proper documentation and approvals.
The role requires performing administrative duties, including maintaining organized filing systems for transportation records and HR documentation, preparing reports, correspondence, and other requested documents, and handling general office tasks such as answering phones, scheduling meetings, and managing calendars.
School-based with occasional visits to transportation sites or other schools.
Light work: Exerting up to 20 pounds occasionally and/or up to 10 pounds frequently. Sitting for extended periods; vision abilities include close vision and ability to adjust focus.
Job is non-exempt, subject to minimum wage and overtime provisions of the Fair Labor Standards Act (FLSA).
