This role supports IPA Operations by managing core transaction processes from listing through closing, including auditing and overseeing listing activation, under contract, and closed workflows. Responsibilities include maintaining accurate deal tracking across all transaction stages and ensuring all required data and status updates are properly researched and recorded, as well as managing IPA press release requests.
The position is also responsible for maintaining distribution lists and phone rosters, administering the Client Services email account, researching outdated client contact information to identify current details and updating Salesforce accordingly, assisting with new user setup requests, and supporting the development and maintenance of training materials and job aids. This role will also assist with the centralized billing process for third-party marketing sites. In addition, this role provides broad support through miscellaneous operational and administrative tasks as needed to ensure day-to-day operational continuity.
The base hourly range for this role is $29.57 - $32.21 per hour. Actual pay will be determined by factors such as education, experience, and job-related skills relevant to the role. Responsibilities:
- Listing Process (List to Close): Audit and manage the activation of all listings, including auditing and managing under contract and closed processes
- Manage IPA press release requests
- Deal Tracking: Manage the collection of mandatory deal information across listing, under contract, and closed stages; maintain accurate reporting of all IPA transaction history (listings, under contract, closings, expired/removed, portfolios, etc.); ensure all data and status updates are properly researched and recorded
- Leadership and Agent Reporting: Maintain accurate leadership and agent reports
- Distribution Lists and Phone Rosters: Maintain and update IPA phone rosters by product type and all IPA Outlook distribution lists
- Training and Job Aids: Assist the Director of Operations in managing, creating, and updating job aids and training videos
- Client Services Email Account and Salesforce Maintenance: Manage the division's general email account; respond to internal and external inquiries; research outdated client contact information, identify current details, and update Salesforce accordingly
- New User Setup Support: Assist with new user setup requests
- Centralized Billing Support: Assist with the centralized billing process for third-party marketing sites
- Miscellaneous Operational and Administrative Duties: Provide broad operational and administrative support as needed to ensure day-to-day operational continuity
May perform other duties as assigned.
Qualifications:
- High school diploma required; an associate/bachelor degree is preferred and considered a plus.
- Two (2) years of experience in administrative support, transaction coordination, or revenue operations.
- Proficient in Microsoft Office Suite (Outlook, Word, PowerPoint and especially Excel).
- Commercial Real Estate experience preferred
- Strong attention to detail and organizational skills.
- Effective written and verbal communication skills.
- Ability to manage multiple tasks under tight deadlines.
- Ability to maintain confidentiality and handle sensitive information
