Job Description

Join our collaborative team at Thermo Fisher Scientific as a Training Coordinator supporting the WPB Training Facility and broader training team needs. In this highly visible and operationally critical role, you will lead the coordination, communication, and execution of technical training programs while also providing essential administrative support to the Training Site Manager and instructor teams.

This is an onsite-based role at our West Palm Beach training facility. Relocation assistance has not been approved for this position.

With increasing training volume, multi-day national service programs, complex travel coordination, and expanded cross-functional engagement, this role is central to ensuring seamless training delivery, strong learner engagement, and operational excellence across all WPB-based training activities.

Key Responsibilities

Training Coordination & Communication

  • Review upcoming training schedules and proactively communicate availability to field service teams, including sending reminders about open training slots to maximize attendance
  • Send pre-training communications to registered participants outlining prerequisites, expectations, and required knowledge prior to attending class
  • Coordinate post-training feedback collection from participants and support continuous improvement of training programs
  • Track training completion and review employee training records to ensure alignment with development plans
  • Follow up with managers after training completion to assess mentoring progress, identify gaps, and support ongoing development needs

Training & Schedule Management

  • Manage and coordinate complex training schedules and calendars for the Training Site Manager and instructor teams
  • Provide dedicated logistical ownership for all WPB-based technical training events, including multi-day national service programs
  • Manage high-volume scheduling adjustments due to travel disruptions, rescheduling needs, and instructor availability
  • Coordinate internal meetings, including scheduling, agenda preparation, and follow-up communications

Logistics & Operational Execution

  • Oversee all training-related shipments, equipment receipt, inventory tracking, and material distribution to prevent delays and operational disruptions
  • Order parts and materials required for training equipment to ensure trainers are fully supported and classes run without interruption
  • Coordinate catering, vendor communications, classroom setup, and onsite operational readiness for all training events
  • Serve as operational liaison between instructors, service leadership, facilities, logistics teams, and external vendors

Compliance, Documentation & Safety

  • Maintain training records, documentation, and reporting to support operational compliance and efficiency
  • Support documentation control, safety compliance readiness, and audit preparedness for the WPB training site
  • Assist in maintaining laboratory safety standards by coordinating required safety documentation and ensuring training environments remain organized and inspection-ready
  • Handle confidential and sensitive information with professionalism and discretion

Process Improvement & Administrative Support

  • Identify process improvement opportunities and implement standardized training coordination and administrative processes
  • Reduce leadership time spent on operational coordination to improve program scalability
  • Provide administrative support to the Training Site Manager and instructor teams as needed
  • Support site operations through administrative best practices and continuous improvement initiatives

Qualifications

  • High School diploma or equivalent required; degree preferred
  • Minimum 2 years of experience in training coordination, administrative support, or operations in a fast-paced environment
  • Experience supporting logistics-heavy programs, training environments, or service organizations preferred
  • Working knowledge of scientific instrument terminology and familiarity with laboratory or technical environments are preferred
  • Strong organizational and coordination skills with the ability to manage multiple priorities simultaneously
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office and scheduling systems
  • SAP Success Factors experience is a plus
  • High level of discretion and professionalism when handling confidential information
  • Ability to work independently while collaborating effectively with cross-functional teams
