The HVAC Training Administrator provides administrative, logistical, and coordination support to the HVAC Technical Trainer/Services Associate. This role ensures training programs, classes, materials, schedules, and communications are organized, accurate, and delivered efficiently to support internal associates and customers. The position requires strong organizational skills, attention to detail, and the ability to work both independently and collaboratively within a team environment.
What You Will Do
Provide administrative support for HVAC training programs, courses, and events
Coordinate training schedules, calendars, and room or virtual meeting logistics
Manage participant registrations, attendance records, and training documentation
Maintain and update training materials, records, and resources using SharePoint/Intranet platforms
Assist with communication to internal teams and customers regarding training opportunities, schedules, and updates
Support reporting and tracking of training participation and outcomes using Excel and other Office 365 tools
Collaborate closely with the HVAC Technical Trainer/Services Associate to ensure smooth execution of training initiatives
Organize digital files using OneDrive and SharePoint for easy access and version control
Assist with continuous improvement of training processes and administrative workflows
Perform additional administrative duties as needed to support Technical Services operations
Requirements
High school diploma or equivalent
1–2 years of administrative, training support, or coordination experience
Proficiency with Office 365 applications (Excel, Outlook, OneDrive, Word)
Strong organizational and time-management skills
Ability to manage multiple priorities in a fast-paced environment
Strong written and verbal communication skills
Ability to work independently while also contributing effectively within a team
Preferred Requirements
Experience supporting training, education, or technical programs
Familiarity with Intranet and SharePoint applications
Experience working in HVAC, construction, technical services, or a related industry
Comfortable working with spreadsheets, tracking data, and basic reporting in Excel
