Position Summary The Training Administrator is responsible for the administration, coordination, scheduling, and logistical support of all Flight Operations training activities. This position serves as a key liaison between Training, Flight Operations, Human Resources, Crew Planning, Crew Scheduling, external training vendors, and regulatory agencies to ensure crewmembers receive the training, equipment, travel arrangements, and support necessary to maintain qualifications and operate safely and efficiently. The ideal candidate is highly organized, detail-oriented, customer-service focused, and capable of managing multiple priorities in a fast-paced airline environment. Essential Duties & Responsibilities - Coordinate and administer all Flight Operations training activities, including new hire, recurrent, upgrade, requalification, and special training events.
- Schedule and coordinate classroom, simulator, and other training events with internal departments and external training providers while ensuring regulatory compliance and operational efficiency.
- Coordinate travel arrangements, hotel accommodations, rental vehicles, and other logistical requirements for crewmembers, instructors, and check airmen attending training.
- Serve as the primary point of contact for crewmembers regarding training schedules, travel arrangements, required documentation, and training logistics.
- Facilitate pilot onboarding activities and ensure all required documentation is completed prior to the start of training.
- Maintain, audit, and manage electronic training records, training schedules, and qualification due dates to ensure compliance with FAA regulations and company requirements.
- Track pilot qualification due dates and proactively communicate upcoming training requirements to crewmembers and operational stakeholders.
- Coordinate and communicate training schedule changes with Flight Operations, Crew Scheduling, Crew Planning, Human Resources, and external training vendors.
- Manage the Alien Flight Student Program (AFSP), ensuring foreign national pilots obtain required TSA approvals.
- Prepare, publish, and distribute training schedules, training communications, departmental notices, and required FAA notifications.
- Conduct periodic audits of training records, departmental processes, and Safety Management System (SMS) requirements to ensure regulatory compliance and audit readiness.
- Distribute, track, and recover company-issued equipment, training materials, and departmental inventory.
- Prepare routine training reports and support departmental process improvement initiatives to enhance training efficiency and effectiveness.
- Provide administrative support to Flight Operations leadership and perform other duties as assigned.
Education, Experience & Skills - Bachelor's degree in Aviation, Business Administration, Training, Education, or a related field preferred.
- Minimum of two (3) years of airline, aviation training, crew scheduling, training administration, or related operational experience preferred.
- Working knowledge of FAA regulations, pilot training requirements, and airline operations preferred.
- Experience coordinating training schedules, travel arrangements, and logistics in a fast-paced environment preferred.
- Experience with Learning Management Systems (LMS), electronic training records, and aviation software platforms preferred; experience with Pelesys, BlueOne, Smartsheet, or similar systems is a plus.
- Proficiency with Microsoft Office Suite required; advanced Excel and reporting skills preferred. Microsoft Power BI experience is a plus.
- Excellent organizational, analytical, problem-solving, and interpersonal skills with the ability to communicate effectively across all levels of the organization.
- Ability to prioritize competing demands, manage multiple deadlines, maintain confidentiality, and exercise sound judgment with minimal supervision.
