Responsibilities

This position provides assistance in all aspects of patient care and coordination in conjunction with management and clinical staff within FMPP clinical practices. Performs clinical and administrative duties in support of assigned area or office at a proficient level and independent of supervision. Makes recommendations to improve programs, products, processes, or services.

Under clinical supervision of the Medical Director, assist with and provide Transcranial Magnetic Stimulation (TMS) treatments for patients and other neuromodulation treatments as they become available. Position the patient, confirm correct medical information, ask safety questions, position coil and treat at specified dose as determined by the physician. Monitor patient during the treatment and alert supervising medical clinicians of any significant changes.

Answer all calls according to clinic protocols, policies, and procedures in a timely and professional manner. Screen incoming phone calls, answer routine questions and forward inquiries to appropriate departments. Act as first point of contact to patients that walk in or call to schedule an appointment, and schedule follow up appointments as needed. Assist in monitoring the schedule and removing patients from appointments when they do not show within the allotted time slot. Cancel/reschedule appointments according to clinic appointment guidelines.

Check patients in and out in a professional, timely, and hospitable manner while following clinic check-out and cash handling policies. Greet patients, ensure insurance, pre-certifications and prior authorizations are correctly entered. Collect co-payments, prepayments, bad debt, self-pay balances and other payments at the time of service. Appropriately balance deposits, checks, and credit card systems. Balance and close batches daily (100% accuracy) with appropriate secondary verifier. Demonstrate knowledge of third-party payers, billing, accounts receivable functions and payment codes.

Provide in-basket management support for clinicians. Assist with patient needs between visits. Triage patient phone calls. Manage patient expectations and is able

to resolve some patient concerns independently. Schedule diagnostic testing as indicated and obtain prior authorizations as needed. Work with office manager and clinicians to develop standardized documentation protocols and procedures. Assist with traces and regulatory readiness for quality and patient care. Perform other clerical duties and tasks to improve provider productivity and clinic workflow as assigned.

Exhibit a willingness to float to all areas of need. Perform administrative and clinical duties as assigned to include floating within appropriate administrative or clinical duties, not limited to prior authorizations, scheduling, and checking in patients, answering phones, or performing all aspects of clinical intake for patients. Set up for and assist provider(s) with exams and procedures.

Promote an atmosphere of teamwork in accomplishing the mission and goals of FMPP.

Qualifications

  • High school diploma or GED and two years of experience; or a combination of post-high school education and experience equal to two years.

  • Valid Certified Medical Assistant Certification or Registration (CMA, NCMA, RMA or CCMA).

  • Current Basic Life Support (BLS) Healthcare Provider Certification issued by a certifying agency, or the ability to obtain prior to hire.

  • Ability to work full-time and float to other FMPP clinics, as needed.

  • Post-job offer, but prior to hire, the following will be required:

  • Documentation of current PPD (Purified Protein Derivative) test as performed by a qualified physician, reporting negative results within the past six (6) months.

  • Documentation of physical examination completed by a qualified healthcare provider/physician within the past six (6) months.

  • Within 30 days of hire, the candidate must provide:

  • Documentation of Tetanus immunization within 10 years.

  • Documentation of Hepatitis B vaccine or positive antibody titer.
