Title and Abstract Agency of America are a premier title agency serving the Tampa, Florida metro area. We are dedicated to providing exceptional title and closing services that ensure smooth real estate transactions for our clients.

We are seeking a detail-oriented and energetic Title and Closing Assistant to join our dynamic team. In this vital role, you will support the title and closing process by opening new orders, ordering title searches and payoffs, processing files, communicating with clients, and assisting the team to facilitate seamless real estate closings. Your proactive approach and customer service skills will help ensure client satisfaction and operational efficiency.

Key Responsibilities:

  • Assist the Closer in all aspects of the real estate closing process, ensuring accuracy and compliance with industry standards.
  • Daily monitoring of incoming orders to include entry & distribution to appropriate parties.
  • Prepare and review closing documents. Including ordering title and municipal lien searches, surveys, and HOA Estoppel letters.
  • Coordinate with clients, lenders, real estate agents, and other parties to gather necessary information and clarify closing requirements.
  • Clearly and professionally communication with all parties involved to resolve any issues or questions that may arise during the closing process.
  • Track and monitor closing timelines, ensuring all deadlines are met.
  • Prepare and balance final numbers for closing transactions. Including ordering payoffs and preparing invoices.

Qualifications:

Minimum of 2 years of experience as a Title Processor or similar role in the real estate or title insurance industry.

  • Knowledge of real estate law, title processing, and legal documentation procedures
  • Understanding of the closing process
  • Experience working in a title agency is preferred
  • Excellent customer service abilities with clear communication skills
  • Ability to multitask efficiently in a fast-paced setting while maintaining accuracy
  • Familiarity with processing software is a plus
  • Bilingual is a benefit
  • Must be a Notary

Responsibilities:

  • Opening new orders
  • Ordering title searches, municipal lien searches and payoff statements
  • Communicating with clients
  • Coordinate with real estate agents, their clients, and lenders, to gather necessary information for closing procedures
  • Manage title processing workflows to ensure timely completion of all required steps
  • Provide excellent customer service by addressing client inquiries and guiding them through the closing process
  • Maintain accurate records of all transactions, reports, and correspondence related to each closing
  • Support the team during settlement meetings by preparing documents
  • Working with team on post-closing matters
