Position Summary
The Temporary Meter Administrative Assistant is a program-based position established to support the Towns large-scale water meter replacement initiative.
This project is expected to span 12 years.
The role is responsible for customer scheduling, service order creation, appointment coordination, and administrative support to ensure successful implementation of the meter replacement program.
Due to the volume of work, this role functions within a shared responsibility model to ensure continuity and prevent bottlenecks.
Key Responsibilities
Serve as the primary point of contact for customers during the meter replacement campaign.
Manage daily scheduling of meter replacement appointments over the duration of the 12 year program.
Create and process service orders in the billing system (NISC) for meter exchanges, lead service line replacements, temporary meters, seasonal accounts, and terminations.
Track service order progress and monitor completion to ensure accurate and timely meter replacements.
Coordinate with field staff throughout the program to ensure daily work schedules and follow-ups are aligned with replacement targets.
Support program reporting by providing administrative data related to installation volumes, customer no-access issues, and completion rates.
Education & Experience:
High school education; additional education or training in office or business administration preferred, and 2-3 years of experience in general administrative or clerical work (municipal experience preferred), or any equivalent combination of education and experience.
Document control and record keeping Demonstrated experience in managing high volume of paperwork / digital files.
Experience setting up and maintaining organized filing systems (physical and electronic)
Data Entry and accuracy Proven ability to accurately enter data into a database or specialty software.
Software Proficiency Strong knowledge of MS Office (Word, Excel, Outlook) and specialty software
Clerical and Office Management Skills Experience with scheduling meetings, coordinating calendars, managing billing, providing professional business correspondence.
Customer / Public Interaction - Good soft skills on phone with customers scheduling appointments and handling concerns or complaints
Organizing and Time Management skills.
Communication skills Written and verbal

Team player and independent Ability to work as a team player, and be self-guided when working independently
