Job Summary
Perform professional and coordination duties in support of assigned university functions, which may include performing program coordination, compliance review, human resources processes, electronic records and database maintenance, data analysis, report writing, and other functions as assigned. The incumbent in this position is a temporary employee. Based on the recent Proclamation: Restriction on Entry of Certain Nonimmigrant Workers (H-1B), VSU will not be sponsoring any new H-1B visa petitions until further notice.
Responsibilities
Department Summary As a member of the University Marketing and Communications team, this temporary Special Events Coordinator position will report to the Director of Strategic Communications and Special Events. This position works with another Special Events Coordinator to ensure all special and major events associated with the Office of the President are properly planned and executed. The successful candidate must be very detail oriented, work well with others, able to manage a project or event from start to finish, and carry heavy items when needed. Will work 40 hours a week during temporary position.
Typical Allocation of Duties: Perform professional duties - 50% Perform clerical and other related duties, including processing, verifying, and maintaining documentation, office support, customer service, and other duties as assigned. Achieve goals - 20% Work to achieve established goals and/or products, reports, program tasks, etc. Coordinate activities with other stakeholders - 20% Coordinate work with a variety of stakeholders, including university faculty and staff, department heads and/or supervisors, students, representatives of other institutions, a variety of professionals, etc. Compliance - 10% Ensure work is performed in compliance with relevant policies, procedures, rules, and regulations.
Supervisor Expectations: Work with special events colleague, director of strategic communications and special events, and the commencement leadership committee to ensure successful fall and spring commencements each year. Ability to work nights and weekends to cover events as needed. Schedule events to ensure they do not conflict with other university and community activities. Reserve facilities by identifying appropriate event spaces and locations and ensuring spaces are reserved and set up correctly. Oversee the management and maintenance of associated fleet vehicles. Work with Creative Services within University Marketing and Communications to ensure invitations are created for special events, create and distribute event invitations as needed via email and/or print, and track RSVPs. Work with campus partners such as Campus Reservations, Physical Plant, Auxiliary, Athletics, Campus Police, Student Life, and Catering to ensure appropriate coordination and support and to build and maintain professional working relationships. May be assigned a purchasing card, must be willing to receive and maintain proper training. May oversee a budget, must be willing to receive proper budget and procurement training. Develop, document, maintain, communicate, and implement policies and procedures for special event operations and activities. Convey and interpret established policies and procedures as needed. Serve on committees (Commencement Leadership Committee, Executive Events Team, etc.) with internal campus stakeholders to ensure the successful planning and execution of campus events. Monitor project management tool Monday.com for regular updates and staff communication and engagement. Oversee quality control by conducting event briefing and debriefing meetings, and document issues and ensure they are addressed prior to the next event. Other duties as assigned.
Required Qualifications
Required Experience Bachelors degree and one (1) year of related work experience.
Proposed Salary $20.91/hr.
