OPPORTUNITY

The Tax Client Services Administrator will support the daily administrative operations of the Tax Services Department. TBG Tax was launched in 2023 and now serves over 400 client households. This is a full-time, in-office position based in Newport Beach, CA.

This role is designed as a dedicated administrative support position, critical to delivering an organized, responsive, and high-touch experience for tax clients and internal team members. The Tax Client Services Administrator provides administrative support to Senior Associates, Tax Managers, and Tax Directors, enabling tax professionals to focus on advisory and compliance responsibilities.

 

RESPONSIBILITIES

Supporting the Tax Department

  • Provide administrative support to Senior Associates, Tax Managers, and the Tax Directors across client engagements
  • Coordinate workflows, deadlines, and internal tracking to support engagement execution
  • Assist with internal reporting, status updates, and administrative follow-through for tax leadership
  • Contribute to process consistency, documentation standards, and departmental organization

Administrative & Department Operations

  • Lead all administrative and coordination duties for the Tax Department
  • Track tax deadlines, extensions, and filing statuses for individual and entity clients
  • Submit tax filings and file extensions in accordance with established procedures and deadlines
  • Maintain organized client records, correspondence, and documentation within firm systems

Client Coordination & Communication

  • Serve as a primary administrative point of contact for tax clients regarding:
  • Intake coordination
  • Document requests
  • Filing confirmations
  • Payment deadlines and logistics
  • Follow up with clients to obtain required documents, signatures, or confirmations
  • Ensure a smooth, professional, and timely client experience throughout the tax compliance cycle

Tax Payment & Filing Support

  • Assist with coordinating client tax payments, including federal, state, and extension payments, under the direction of tax professionals
  • Support e-filing logistics, acknowledgments, and confirmations
  • Ensure filing and payment confirmations are properly documented and communicated

 

QUALIFICATIONS

  • Prior experience in an administrative, operations, or client service role preferred
  • Strong organizational skills with exceptional attention to detail
  • Ability to manage multiple deadlines and priorities in a professional services environment
  • Clear written and verbal communication skills
  • Comfort working with confidential client information
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Experience with tax or professional services software a plus, but not required
