The Talent Acquisition Administrator provides administrative support to Alberici Canada's recruitment function. This role is responsible for coordinating recruitment activities, maintaining applicant tracking systems, supporting interview logistics, and ensuring a positive candidate experience throughout the hiring process.

Key Responsibilities

New Hire & Onboarding
• Coordinate new hire onboarding activities, including preparing and distributing new hire forms.
• Administer pre-employment background checks and reference checks through approved vendors.
• Manage onboarding activities within the company's onboarding platform.
• Coordinate and distribute new hire welcome gifts.
• Schedule and coordinate new hire orientation sessions and distribute orientation schedules.
• Maintain orientation sign-off documentation and onboarding records.
• Track inventory of new hire welcome items and coordinate replenishment as required.
• Administer the employee referral program.
• Prepare and distribute weekly new hire communications to project teams and internal stakeholders.

Interview Coordination
• Schedule interviews with candidates, hiring managers, and interview panels.
• Prepare and distribute interview invitations, meeting requests, and interview summaries.
• Review interview schedules to ensure all required interviewers, meeting logistics, and interview formats are accurate and complete.

Administrative Support
• Monitor and respond to the Human Resources shared inbox, escalating inquiries as appropriate.
• Administer recruitment activities within the Applicant Tracking System, including issuing candidate decline communications.
• Provide administrative support for the company's onboarding platform.
• Process Talent Acquisition team expenses and recruitment-related invoices.
• Coordinate and maintain the Talent Acquisition corporate calendar, including recruitment events and key hiring activities.
• Prepare and administer independent contractor and union employment offers.


Qualifications & Experience
• Post-secondary education in Human Resources, Business Administration, Communications, or related field
• 1–3 years of administrative or recruitment experience
• Experience using Applicant Tracking Systems preferred
• Excellent organizational and communication skills
• Strong attention to detail
• Ability to manage multiple priorities
• Proficient in Microsoft Office


Work Environment
This position is primarily office-based in Burlington, Ontario, with occasional visits to project sites. Flexible work arrangements, including remote work, may be available in alignment with business needs and the company's remote work policy.
