Position Overview
The Mid-Level Systems Administrator is responsible for the maintenance and administration of information technology resources such as WAN, LAN, servers, cloud infrastructure, software, and computer systems while improving the internal IT environment that supports OneKey MLS staff and operations. This role focuses exclusively on internal infrastructure and systems, not member-facing MLS platforms.

A key component of this position involves transitioning IT operational functions from a shared service model to direct internal management. The administrator will take ownership of establishing, documenting, and maintaining core IT processes including equipment lifecycle management, employee onboarding/offboarding workflows, IT policy development, and procurement procedures.

The ideal candidate is hands-on, reliable, security-oriented, and capable of managing a wide array of IT needs with professionalism and precision.


Responsibilities

Shared Service Transition & Process Ownership

  • Lead the transition of IT operational functions from shared services to internal management.
  • Establish, document, and maintain standardized processes and workflows for:
    • Service equipment procurement, deployment, and lifecycle management.
    • Employee IT onboarding and offboarding procedures.
    • Internal IT service request handling and ticketing
    • Hardware and software asset inventory management
  • Develop and maintain IT policies and standard operating procedures for internal operations.
  • Create comprehensive documentation, including:
    • Equipment inventory templates and vendor contact lists
    • Step-by-step guides for common IT processes
    • Decision matrices and approval workflows for IT requests
  • Evaluate and implement equipment procurement strategies, including:
    • Research and recommend corporate vendor account structures
    • Establish relationships with preferred vendors (e.g., corporate Amazon Business account)
    • Develop cost-effective purchasing procedures and approval processes
    • Create vendor evaluation criteria and negotiate terms where appropriate
  • Serve as the process owner for internal IT operational workflows.

Infrastructure & Systems Management

  • Administer and maintain internal Windows and Linux servers, virtual machines, network storage, and backup systems.
  • Manage Active Directory, identity and access controls, SSO, MFA, and user lifecycle processes.
  • Administer Microsoft 365, including Exchange, SharePoint, OneDrive, and Intune.
  • Maintain internal SaaS tools such as SendGrid, Zendesk, Zoom, and TeamViewer.
  • Manage laptop imaging, configuration, and policy enforcement through Intune.
  • Oversee firmware upgrades for laptops, network hardware, and audiovisual equipment.
  • Support SQL Server administration, installation, updates, backup/restore routines and basic maintenance tasks.
  • Track SSL certificate renewals and expirations.
  • Ensure timely patching, updates, and system maintenance windows.

Networking & Security

  • Monitor and support network operations: SonicWall firewalls, switches, VPNs, Netgear wireless access points, and on-premises connectivity.
  • Support WAN connectivity and coordinate with ISPs to resolve issues.
  • Monitor alerts, investigate anomalies, and assist in incident response.
  • Implement and enforce cybersecurity policies and best practices.
  • Maintain Logitech audio and video systems in conference rooms.
  • Support compliance-driven IT requirements, audits, and documentation.

User & Operational Support

  • Provide Tier 2 and Tier 3 internal IT support to all departments.
  • Support desktops, laptops, mobile devices, printers, software access, and permissions.
  • Provide remote desktop assistance for onsite and remote staff.
  • Execute employee onboarding tasks, including device preparation, account creation, access provisioning, and MFA setup.
  • Execute employee offboarding tasks, including asset recovery, account deactivation, access revocation, and data handling.
  • Maintain and update hardware, software licenses, and IT asset inventory records.

Vendor Coordination

  • Serve as a technical liaison to infrastructure and service vendors.
  • Coordinate tickets and escalations with:
    • Internet providers
    • Hosting and colocation facilities
    • Hardware and service contract vendors
    • Security and monitoring vendors
    • Cloud platform providers
  • Verify successful completion of vendor-delivered technical tasks.
  • Coordinate support for Vonage phone system configuration and troubleshooting.

Cloud & Automation

  • Assist in the administration of Azure services, including Azure AD, Azure Functions, and common cloud resources used by internal teams.
  • Work on small automation projects using scripting tools like PowerShell or Bash to streamline repetitive tasks.

Projects

  • Support office relocations, hardware refreshes, and conference room technology upgrades.
  • Assist in network upgrades, system redesigns, and new equipment rollouts.
  • Support business continuity, failover, and disaster recovery operations.
  • Assist in security initiatives and remote-work infrastructure improvements.
  • Contribute to documentation updates and internal process modernization.

Qualifications

Required

  • 3 to 6 years of experience as a Systems Administrator or equivalent role.
  • Strong hands-on experience with Windows Server, virtualization platforms, and core networking.
  • Experience managing Active Directory, Azure AD, and Microsoft 365.
  • Experience with endpoint management, patching systems, and device policy controls.
  • Knowledge of firewalls, wireless access points, VPNs, and general LAN architecture.
  • Strong documentation habits and attention to detail.
  • Clear communication skills with internal staff and senior leadership.
  • Demonstrated ability to establish and document IT processes and procedures.
  • Experience managing IT procurement, vendor relationships, and equipment lifecycle.

Preferred

  • Experience in a compliance-driven or regulated environment.
  • Exposure to Azure cloud engineering, including Functions, networking, and identity.
  • Experience with scripting in PowerShell, Bash, or similar tools.
  • Familiarity with SOC, ISO, or similar security frameworks.
  • Prior experience transitioning from shared services or managed service providers to in-house IT operations.
  • Experience developing IT policy and standard operating procedures.
