Position/Title: Surgical Operations Specialist (FT) In Person
Location: O'Fallon, IL (in office with some remote available)
Compensation: $19 - $22 / hr

POSITION SUMMARY
The Surgical Operations Specialist is a key member of the team. You will coordinate and maintain accurate, efficient surgical schedules across multiple surgeons and facilities. You will ensure patients receive timely communication, facilities are fully prepared, and all necessary resources are confirmed prior to surgery. You are detail-oriented, organized, and proactive, with strong communication skills and a commitment to exceptional patient and staff service.
KEY RESPONSIBLITIES & DUTIES
Scheduling & Coordination
- -Create/maintain accurate surgical schedules
- -Communicate surgery dates, times, pre-operative requirements, and changes as needed
- -Collaborate with cross-functional teams and facility partners to ensure aligned for smooth surgical flow.
Resource Management
- -Confirm lens availability, surgical equipment, and pre-operative readiness for all scheduled procedures.
- -Maintain awareness of each surgeon’s preferences, block times, and facility requirements to ensure accuracy and efficiency.
Documentation & Communication
- -Ensure scheduling documentation is complete, accurate, and distributed appropriately to surgical centers, providers and internal teams.
- -Provide timely and professional communication to patients and staff regarding scheduling details or changes.
- -Regularly monitor and respond to patient inquiries assigned to surgical operations call center board and/or phone queue in a prompt, accurate, and timely manner.
Compliance & Service
- -Ensure scheduling activities adhere to established practice policies, procedures, and standard operating protocols (SOPs).
- -Deliver excellent service and communication to patients, providers, and staff, supporting an efficient and compassionate surgical experience.
ADDITIONAL RESPONSIBILITIES
- -Assist in other areas across the surgical team as needed and requested by management to support facility needs, provider needs or team needs.
- -Travel to other Ideal Eye Surgery locations as required, filling in as a counselor 2-4 times monthly
- -Perform additional scheduling or administrative duties as assigned.
QUALIFICATIONS
- -Minimum 2-5 years of experience in surgical scheduling, healthcare coordination, or administrative support (ophthalmology preferred).
- -Strong organizational and multitasking abilities with exceptional attention to detail.
- -Proficiency in EHR systems and scheduling software.
- -Excellent communication and interpersonal skills.
- -Ability to adapt quickly in a fast-paced, high-volume environment.
- -Commitment to patient-centered care and team collaboration.
