Primary Purpose of Organizational Unit

The UNC Adams School of Dentistry Division of Craniofacial and Surgical Care provides a diverse approach to treatment for patients with craniofacial or oral and maxillofacial conditions, including those with multiple or complex oral health problems. The Oral and Maxillofacial Surgery discipline functions within the Adams School of Dentistry and UNC Hospitals and specializes in implant surgery, jaw tumors and disease, trauma surgery, cleft palates, facial cosmetic surgery and much more.

Position Summary

The Surgical Care Coordinator serves as a critical liaison between patients, Oral and Maxillofacial Surgery (OMFS) faculty, referring providers, hospital partners, and administrative teams to ensure the efficient coordination and delivery of patient care. This position is responsible for managing the scheduling and coordination of consultations, procedures, and surgeries for patients requiring specialized oral and maxillofacial surgical treatment. The role supports both patient care operations and administrative functions that are essential to maintaining timely access to care, continuity of treatment, and a high-quality patient experience.

Patient Care Coordination

The Surgical Care Coordinator facilitates all aspects of patient scheduling and care coordination, including contacting referred patients, completing patient registration, obtaining and organizing diagnostic records, and ensuring clinical documentation is accurately maintained within required systems. The position serves as a central point of communication among patients, referring providers, surgeons, residents, insurance representatives, and other members of the healthcare team.

Responsibilities include coordinating consultation appointments, communicating treatment plans, ensuring timely dissemination of surgeon notes and supporting documentation for insurance review and billing purposes, obtaining prior authorizations when required, and coordinating surgical procedures through the UNC Hospitals operating room scheduling process utilizing the Epic OpTime system. The Surgical Care Coordinator ensures that all stakeholders have the information necessary to support efficient, seamless patient care and successful treatment outcomes.

Administrative Support

The Surgical Care Coordinator provides administrative support to OMFS faculty by assisting with professional correspondence, communication with referring healthcare providers, preparation of educational and presentation materials, and coordination of departmental activities. The position contributes to the department's operational effectiveness by promoting responsive service, facilitating referral management, and supporting initiatives that enhance patient access and provider satisfaction.

This role is vital to the success and reputation of the OMFS program. Timely and effective management of referrals, consultations, and surgical scheduling helps ensure patients receive prompt access to specialized care while strengthening relationships with referring providers and maintaining the department's competitiveness within the region.

Minimum Education and Experience Requirements

High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.

Management Preferences

  • Experience working in a dental practice, dental clinic, academic dental setting, or healthcare environment with direct patient interaction.
  • Certification, specialized training, or advanced education in a healthcare-related field preferred.
  • Working knowledge of electronic medical or dental record systems (EMR/EHR), preferably Epic, including experience with the OpTime module.
  • Experience coordinating patient scheduling, registration, clinical operations, or related administrative functions in a dental or healthcare setting preferred.
  • Demonstrated ability to communicate effectively with patients, providers, students, and staff in a fast-paced clinical environment.

Required Licenses/Certifications Special Physical/Mental Requirements

Ability to remain calm with a positive customer service attitude.
