Job Description: Surgery Services Liaison
Position Title: Surgery Services Liaison
Position Overview
The Surgery Services Liaison serves as the primary point of contact between our organization, surgeons, clinical teams, and partner surgery centers. This role ensures seamless scheduling, coordination, and utilization of surgical block time across multiple facilities while maintaining strong relationships with facility administrators, OR directors, and key stakeholders. The liaison is responsible for optimizing surgeon access, solving scheduling challenges, and ensuring an exceptional experience for both providers and patients.
Key Responsibilities
Surgery Scheduling & Block Time Management
- Oversee and manage all surgical block times across partner surgery centers.
- Coordinate surgeon OR schedules to ensure optimal utilization and minimize gaps or conflicts.
- Track block hour usage and recommend adjustments based on surgeon volume, growth trends, and facility capacity.
- Proactively secure additional OR time when needed and negotiate changes with surgery center staff.
- Partner with the VP of Growth and Marketing with onboarding new providers and securing surgery time.
Facility Relationship Management
- Serve as the main operational contact for each surgery center and assist with scheduling meetings with the teams.
- Build strong partnerships with OR directors, schedulers, and administrative teams.
- Address operational issues, delays, cancellations, and workflow challenges promptly.
- Conduct regular touch-points with facility leadership to support smooth day-to-day operations.
Provider & Clinical Team Support
- Act as a liaison between surgeons, APPs, clinical support teams, and surgery centers.
- Resolve provider concerns related to scheduling, room setup, equipment needs, and staffing updates.
- Facilitate communication on policy updates, credentialing requirements, and facility expectations.
- Partner with the Manager of Surgery Scheduling and Authorization on training and best practices for scheduling.
Operational Efficiency & Reporting
- Monitor and analyze OR utilization, cancellation and deferred cases.
- Prepare regular reports for leadership on volume, block utilization, and opportunity gaps.
- Partner with the VP of Growth and Marketing on scheduling the right cases at the right facility to ensure maximum reimbursement.
Patient Coordination Support (Non-Clinical)
- Ensure alignment between clinic schedulers and surgery center scheduling teams.
- Partner with the Manager of Surgery Scheduling and Authorization to help troubleshoot issues related to case scheduling, authorizations, or pre-op documentation readiness.
- Maintain clear workflows to ensure an efficient and patient-friendly surgical scheduling experience.
Requirements
Qualifications
- 2-4+ years of experience in surgical scheduling, healthcare operations, or surgery center coordination (preferred).
- Strong understanding of OR workflows, block scheduling, and surgical case logistics.
- Excellent communication and relationship-building skills.
- Ability to manage multiple facilities, providers, and priorities with ease.
- Proactive problem solver with strong organizational skills.
- Proficiency in EMR/EHR systems and scheduling software (experience with multisite or ambulatory surgery centers is a plus).
