Primary Duties and Responsibilities

As a Surgery Scheduler, primary responsibilities include coordinating surgical cases and ensuring all related administrative workflows are completed accurately and in a timely manner. This includes scheduling surgeries and pre-operative appointments, obtaining required insurance authorizations, and communicating closely with patients, surgeons, and clinical teams to confirm logistics and resolve scheduling conflicts. Participate in a team-based approach to supporting our patients, through Care Coordination.

In addition to surgery coordination, this role supports front desk operations across department clinics by answering and triaging patient phone calls, checking patients in and out, scheduling and confirming clinic appointments, assisting with diagnostic test scheduling, and preparing charts and documents for provider visits. Responsibilities also include handling medication refill requests, processing medical records and disability forms, and assisting with insurance pre-certifications and referrals.

The Surgery Scheduler may be assigned to various Urology clinics throughout the community and is expected to provide coverage as needed, maintaining a high level of professionalism and patient-centered service. Other duties may be assigned as operational needs arise.

Salary Range: $30.36 - $43.49 hourly

Required:

  • Knowledge of medical terminology, particularly urology.
  • Knowledge of third-party insurances, government programs and other insurance agencies for purposes of assigning financial class codes and obtaining any necessary authorizations for treatment.
  • Ability to research medical diagnosis and procedure codes in CPT Code book and ICD-10_CM code book.
  • Demonstrated computer skills including word-processing, use of spreadsheets and data entry.
  • Ability to understand and correctly use technical terminology, correctly identify and extract data from hospital records, enter data on flow sheets or in computer and maintain study records.
  • Ability to communicate effectively with medical, nursing and administrative personnel, regulatory agencies and study sponsors, both verbally and via written reports and memos.
  • Knowledge of University's Electronic Medical Record System.
  • Skill and experience in composing clear and understandable written memos and reports using correct grammar.
  • Skill in prioritizing assignments to complete work in a timely and accurate manner.
  • Knowledge of UCLA Health System processes.
  • Skill in communicating with patients, families and referring physicians with diplomacy.
  • Ability to establish and maintain cooperative working relationships with physicians, residents, research associates, fellows, students and staff, as well as outside granting agencies.
  • Superior typing skills to prepare correspondence, reports and other written materials with speed and accuracy.
  • Skill in prioritizing assignments to complete work in a timely manner when there are changes in workload and assignments, pressures of deadlines, and/or a heavy workload.
  • Ability to work flexible hours and travel to department clinics, as assigned

Preferred:

  • Fluent in Spanish
  • Bachelor's degree
  • Demonstrated basic knowledge of cancer treatment
