Job Summary/Basic Function
Administrative Conference Assistants (ACAs) are responsible for performing check-ins and check-outs of conference attendees, performing facilities assessments of assigned residence halls, re-setting rooms, providing University and community information to conference guests, and after business hours response for conference attendees.
They are responsible for the daily operations and are accountable for the safe and efficient operation of assigned residence halls and conference services. This role will interact with team members, supervisors, and all other lines of business to ensure the overall positive guest experience.
In addition, they are responsible for providing quality customer service to conference attendees which will include some interim supervisory responsibilities of conference attendees. They will interact with conference guests on a daily basis to promote compliance with service standards.
This position reports directly to a professional staff member in Residence Life or designee.
Minimum Qualifications
Key Accountabilities: 1. Perform all aspects of conference operations, including assigned residential hall, room, and key preparation and assessment both pre and post conference, posting signs and bulletin boards, conducting the check-in and check-out process, tracking accurate numbers for future billing, maintaining accurate rosters of all guests, and completing data-entry as needed. 2. Promote the security and safety of the residence halls for all conference guests by providing after hours response, and performing assigned rounds of the occupied buildings or areas. 3. Become cross-trained across other departments involved in conference services to assist in the mission of conference services (examples include, but are not limited to: student center, dining services, wellness center, orientation, and facilities) 4. Ensure smooth communication and relationships with partnering lines of business such as Residence Life, Housekeeping, Conference Services, Dining Services, SUPD, and others. 5. Enforce University policies in a manner that respects privacy. 6. Provide excellent customer service for conference guests. 7. Attend all training and weekly meetings throughout the conference season. 8. Positively represent Shepherd University to all conferences guests, students, and University faculty/staff. 9. Review conference requirements and itinerary with team members, coordinators, and Conference Services management staff prior to conference arrival. 10. Complete administrative tasks in the Residence Life Office or elsewhere on campus during scheduled hours. 11.Exhibit adaptability, flexibility, and effective time management skills. 12. Other duties assigned by the supervising professional staff member or designee.
