The Student Services Specialist, Sr. focuses on providing both direct student and Field of Interest (FOI) support: from advising students through a holistic caseload management approach via appts, proactive and responsive outreach, group advising, events, and the like; to collaborating with the Student Services Analyst on the planning, coordination, and facilitation of FOI campus relationships, projects, initiatives, events, trainings, and beyond. When/As needed, they may also share responsibility of more complex advising support tasks related to student and FOI processes. Essential Functions 30% - Holistic Academic Advising & Caseload Management Provides comprehensive, proactive advising to an assigned caseload within a designated Field of Interest (FOI); may advise across multiple FOIs as needed Utilizes a holistic case-management approach including scheduled appointments, drop-in advising, proactive outreach, and group advising Develops multi-semester academic plans that integrate academic and career advising aligned with student goals and transfer pathways Monitors student progress, key milestones, and academic standing to inform timely interventions and support retention and completion Maintains accurate, timely documentation of advising interactions within student information systems Collaborates with faculty, FOI Analysts, and academic departments to remain current on admissions, enrollment, and program updates 20% - Student Support & Complex Case Resolution Serves as primary point of contact for student inquiries related to admissions, enrollment, registration, financial aid, tuition, scholarships, testing, internships, and graduation Performs complex advising functions and exercises independent judgment to resolve student issues and barriers Acts as a cross-functional liaison among students, faculty, staff, and administrators to coordinate services and streamline processes Provides proactive, high-touch communication and follow-up; connects students to appropriate campus and community resources Supports recruitment and outreach initiatives, including advising within academic departments Designs and delivers FOI-specific presentations, information sessions, group advising, and classroom visits 15% - Advanced Advising Functions & Records Management Conducts unofficial transcript evaluations, test score interpretation, degree audits, and program plan changes Reviews and processes course substitutions to ensure accurate degree and certificate completion Serves as a subject matter expert on curriculum requirements, academic policies, and advising best practices Maintains and updates student records in accordance with departmental and institutional standards Ensures accuracy and timeliness of documentation related to advising, course applicability, and academic standing 15% - Course Applicability & Financial Aid Processing Reviews and resolves course applicability issues in collaboration with the Student Services Analyst Processes financial aid documentation, including Consortium Agreements and Maximum Timeframe appeals Ensures compliance with institutional, state, and federal financial aid regulations Communicates financial aid implications to students as part of academic planning 10% - FOI Projects, Events & Initiatives Collaborates with the Student Services Analyst to plan and implement FOI-related projects and strategic initiatives Coordinates and participates in student engagement events and campus partnerships Contributes to initiatives that promote student success, retention, and completion 10% - Training & Operational Support Serves as FOI subject matter expert; supports training and onboarding of advising staff Provides guidance on curriculum, degree pathways, transfer requirements, and program policies Assists with operational support, including facilitating meetings, attending analyst meetings, and supporting workflow processes Provides backup support to FOI Analyst and contributes to strategic and operational efforts
