Overview

The Residence Life Office Assistant will primarily service the Dauphin RA office during normal business hours and up to 8 p.m. when the Resident Assistants come on duty. Secondarily, they will provide coverage in the Residence Life main office as needed and provide customer service to all students, faculty, staff and the general public. This includes, but not limited to, assist with the tidiness of the office, phone coverage during business hours, assist with daily operational needs of the office, work during important times of year; Open Houses Welcome Week in August and January.

Qualifications

EDUCATION

  • Current Penn College student. Required
  • Must be in good academic standing, 2.0 grade point average. Required

EXPERIENCE

  • Three (3) months of experience working in an office or customer service setting. Required

Responsibilities

Maintain professionalism and provide a high level of customer service. Answer questions in regard to Residence Life and residence life policies and procedures. Assist Residence Life in tracking down students of concern for numerous reasons, but always following Residence Life policy. Escort outside contractors / vendors throughout the residence halls and students' rooms. After normal business hours until Residence Assistants are on-call at 8pm on weeknights, the residence life office assistants are the primary the contact for all issues related to Residence Life. Receiving phones calls and assisting student who come to office, need to make necessary decisions, phone and phone calls to handle any situation in the moment and ensure the correct follow-up with professional staff. Deal with both prospective and current students, parents, and the general public to answer questions and address concerns making appropriate referral as needed. Provide housing tours to prospective students, high school groups, prospective athletes and other offices on campus for special events. Maintain organization of the conference room, storage shelves, storage room and desk areas. Check unoccupied rooms for damages and issues as needed by professional staff. Enter data / photos as needed for damage punch list and damage billing in regard to the Room Change, Room Check processes. Create spread Excel spread sheets to track office information. Handle the verification and approval of Guest Forms, as well as providing host student with parking pass for guest. Distribute all programming posters to Residence Assistant mailboxes. Maintain the Bulletin Board outside of the Dauphin RA office. Ensure programming information is changed out and create new board during different time of year. Create advertising and other communications to students. Perform filing for the office. Run work-related on-campus errands. Attend regularly scheduled staff meetings and student development trainings as requested. Maintain high standards and achieve high expectations. Be knowledgeable of College Emergency Procedures and act accordingly. Be aware of surroundings and happenings within the office, within the residential complexes or on Penn College property. Report concerns or unusual activates/behaviors to your supervisor, Residence Life staff or College Police. Communicate with the supervisor on an ongoing basis.
