Student Life Coordinator | Millsaps College

Job Summary

The Student Life Coordinator plays a central role in ensuring the smooth, efficient, and service-oriented functioning of the Office of Student Life. Reporting to the Assistant Dean of Students, this position provides high-level operational, administrative, and customer-service support to the office. The Coordinator serves as a primary point of contact for students and families and is responsible for managing critical data processes, coordinating divisional operations, and supporting the delivery of a positive and responsive student experience. This role requires high-quality, proactive, and student-centered customer service.

Job Duties

• Provide high-quality front-line service, including front desk scheduling, identifying solutions for reported issues, and ensuring prompt responses to phone calls and emails in shared email accounts. • Respond to student and family inquiries promptly by phone, email, and in person with a high level of professionalism, empathy, and accuracy. • Support ongoing family communication plan in collaboration with Student Life leadership. • Serve as the divisions main resource for operational workflows and data management. • Manage Student Life data, systems, documents, reports, and website content, including charges, holds, changes, and student organization memberships. • Oversee residence hall and fraternity house assignments in collaboration with the Assistant Director for Community Life. • Generate accurate occupancy, membership, grades, and informational reports. • Track policy changes throughout the year and publish annual updates to the Major Facts Student Handbook and other policies and procedures. • Support events management and space reservation processes for Student Life. • Coordinate divisional events, space reservations, operational calendars, and related project tasks. • Process maintenance work orders promptly. • Develop and maintain the annual Student Life operations and events calendars, and prepare agendas and materials for meetings. • Serve as the liaison to other internal teams and collaborate on cross-functional projects. • Assist with recruiting and processing of HR forms and information for personnel files. • Monitor and assist with Student Life budget tracking, account management, purchases, and p-card processing. • Maintain internal and external grievance files required for accreditation compliance. • Resolve concerns efficiently and follow through on student needs.

Qualifications

• Post-secondary degree or certification preferred, with at least two years of related administrative or operational experience. • Excellent verbal and written communication skills. • Strong customer service skills and professional phone etiquette. • Positive attitude and ability to contribute to a supportive, inclusive, and responsive office environment. • Ability to manage, organize, prioritize, and complete multiple tasks in a dynamic environment with frequent interruptions. • Ability to exercise sound judgment, maintain confidentiality, and handle sensitive information with discretion. • Proficiency in Microsoft Office/Office.com (Outlook, Word, Excel, PowerPoint) and ability to master college systems such as Colleague/Datatel and Webi. • Strong attention to detail, accuracy, and follow-through. • Familiarity with business writing, data management, and basic mathematical principles.

Physical & Availability Requirements

• Prolonged periods sitting at a desk and working on a computer. • Manual dexterity needed for keyboarding and other repetitive tasks. • Must be able to lift and move up to 25 pounds without assistance.
