Essential Duties and Responsibilities

  • Serve as the first point of contact for greeting in-person visitors seeking enrollment assistance, answering departmental phone calls, and responding to emails which includes managing a dedicated office inbox. Provide appropriate referrals to other departments or escalate issues to supervisor as needed.
  • Understand and accurately apply current policies, procedures, and processes in the creation, maintenance, and security of student enrollment records from admissions to graduation, while appropriately utilizing related technology solutions which may include TargetX, Banner, and Parchment.
  • Process, enter, and image student records including admissions applications, transcripts, test scores, change of major forms, grade changes, reinstatements, drops/withdrawals, and other enrollment documents in a timely, accurate manner and according to college policy and procedure.
  • Maintain compliance and confidentiality of academic records in accordance with FERPA, AACRAO standards, college policies, state, and federal regulations.
  • Assist faculty, staff, and advisors with student enrollment activities such as drops/withdrawals, grade changes, change of majors, graduation requirements, and other related activities.
  • Utilize the Banner Document Management System to image student records and related enrollment documents. Complete appropriate protocols and forms related to the archival and destruction of student records.
  • Issue and receive official high school and college transcripts through approved channels and complete enrollment verifications as needed.
  • Process, evaluate, and enter information from electronic or paper transcripts into the student information system in an accurate and timely manner.
  • Provide administrative and budget support to the respective campus location which may include purchase order creation, office supply and recruitment material inventories, and calendar management.
  • Work cooperatively with department and division staff to ensure appropriate staffing at on-campus enrollment events and during extended hour periods.
  • Perform other job-related duties and serve on work groups as assigned.

Qualifications

  • One (1) year (32 semester hours) of postsecondary education from a regionally accredited institution, required.
  • Associate degree, preferred.
  • Three or more years of full-time work experience in an institution of higher education, required.
  • Experience working in a student information system such as Banner, preferred.

SALARY: Compensation is in accordance with the Alabama Community College System's Salary Schedule E3-4 ($39,759 - $57,251).

Sick Leave

All regular full-time non-instructional staff earns one day of sick leave which is the equivalent of 8 hours of sick leave per month. Unused sick leave is rolled over to the following year. Upon retirement, employees are allowed to convert unused sick time into service time for the purpose of retirement. Retirement

The TRS was established in 1939 to provide benefits to qualified persons employed by state-supported educational institutions. Responsibility for the management and administration of the TRS is vested in its Board of Control. The Boards of Control elect the Secretary-Treasurer who serves as the Chief Executive Officer of the RSA and is responsible for the day-to-day management of the RSA. Tuition Assistance

This tuition waiver program is designed for all full-time instructional and non-instructional employees of The Alabama College System and the Alabama Department of Postsecondary Education and their dependents as defined under by policy. The program will be coordinated by each institution for employees within The Alabama College System and the Alabama Department of Postsecondary Education. An application form for the tuition assistance program is available in the Human Resources office and should be completed prior to registration for classes.

Employees/Dependents at two-year colleges:

  • 1/3 waived after 1st year
  • 2/3 waived after 2nd year
  • 3/3 waived after 3rd year
