Job Goal:
The Student Enrollment, Residency and Data Compliance Specialist is responsible for coordinating and maintaining the integrity of student enrollment, residency, and related student data functions for the District. The position oversees registration processes, residency verification procedures, student data reconciliation, school lunch application administration, tuition contract management, and compliance-related reporting. The Specialist serves as a liaison among the Business Office, Technology Department, Student Personnel Services, schools, and families to ensure accurate student records and compliance with applicable laws, regulations, and reporting requirements.Qualifications:
- Associate's Degree preferred
- Strong organizational, analytical, and communication skills.
- Demonstrated proficiency with student information systems, database management, and Google Suite/Microsoft Office applications.
- Minimum of three (3) years of experience in student registration, residency, school business administration, student information systems, enrollment or related field preferred.
- Ability to maintain confidentiality and exercise discretion when handling sensitive student and family information.
- Required criminal history background check and proof of U.S. citizenship or legal resident alien status.
Key Responsibilities:
Essential Duties and Responsibilities
Enrollment and Residency
- Coordinate and manage district-wide student registration and enrollment processes.
- Review registration documentation for completeness and compliance with Board policy and state regulations.
- Conduct residency verification reviews and maintain supporting documentation.
- Maintain lease database and actively reaching out to families for updated documentation
- Coordinate residency re-verification activities as required by district procedures.
- Assist with residency investigations by maintaining records, collecting documentation, and coordinating information requests.
- Maintain enrollment records and ensure accuracy of student demographic information.
- Serves as the main point of contact for the district's residency investigator.
- Compiles reports for school board hearings.
Student Information Systems and Data Integrity
- Maintain a comprehensive understanding of the District's Student Information System (SIS).
- Monitor student enrollment data and perform periodic audits to ensure data integrity.
- Work collaboratively with the Technology Department to reconcile student enrollment data and resolve discrepancies.
- Coordinate reconciliation of student records among schools, Student Personnel Services, and the Business Office.
- Assist with district enrollment reporting and related state reporting requirements.
- Support preparation and verification of student enrollment data utilized for ASSA and other state submissions.
Student Compliance and Reconciliation
- Reconcile enrollment records, class lists, residency records, homeless student lists, and other student-related databases to ensure consistency and accuracy.
- Coordinate with Student Personnel Services regarding homeless student reporting and record maintenance.
- Assist with student data audits and compliance reviews.
- Maintain archived student records and oversee requests for historical student information in accordance with record retention requirements.
School Lunch Program Administration
- Administer Free and Reduced-Price Lunch application processes.
- Conduct annual verification activities and maintain required documentation.
- Monitor student meal account balances and coordinate communications regarding outstanding balances.
- Maintain records related to eligibility determinations, direct certification, and reimbursement requirements.
- Ensure compliance with applicable state and federal regulations governing student meal programs.
Tuition and Financial Support Functions
- Prepare and maintain tuition contracts for students attending or received from other districts.
- Coordinate tuition billing, reconciliation, and supporting documentation.
- Maintain records associated with tuition revenues and expenditures.
- Assist in reconciling student enrollment data with tuition billing records.
Collaboration and Administrative Support
- Serve as a liaison among the Business Office, schools, Student Personnel Services, Technology Department, and families regarding enrollment and student data matters.
- Prepare reports, correspondence, and documentation as requested.
- Recommend process improvements related to student enrollment, residency, and data management functions.
- Attend meetings and training programs as assigned.
- Perform other duties within the scope of the position as assigned by the Business Administrator/Board Secretary.
