Job Summary

The Student Assistant for Event Services supports the planning, coordination, and execution of large-scale university events that celebrate the spirit and traditions of the University of West Georgia. This role contributes to high-profile events such as Winter West Wonderland, Commencement Ceremonies, and other Presidential and University Advancement events, often serving 4,000+ guests.

The position provides hands-on experience in event management, leadership, marketing and professional communication within a fast-paced, high-visibility environment. The Student Assistant works closely with the Director of Event Services and campus partners to ensure seamless event execution and meaningful guest experiences.

Responsibilities

  • Assist with planning, logistics, and execution of major university events.
  • Provide on-site support during event set-up, live operations, and breakdown.
  • Lead and supervise volunteers and student workers during events (large scale events).
  • Support the Director of Event Services in coordinating presidential and advancement division programs.
  • Conduct research and benchmarking to identify best practices and innovative event strategies.
  • Collect, analyze, and present event data and feedback for continuous improvement.
  • Develop event recaps, visual reports, and presentations summarizing outcomes and recommendations.
  • Assist with collaboration with campus departments, vendors, and community partners.
  • Maintain organized event documentation, schedules, and communication logs.
  • Assist with marketing and outreach efforts related to campus and community engagement events.

Required Qualifications

  • Must be currently enrolled as a student at the University of West Georgia in a minimum of 6 credit hours.
  • Must have and maintain a minimum GPA of 2.0 or higher.
  • Must have and maintain a valid Drivers License.
  • Demonstrated interest in event planning, hospitality management, marketing, communications, public relations, or a related field.
  • Strong organizational skills with the ability to manage multiple priorities effectively.
  • Excellent written and verbal communication skills.
  • Ability to work collaboratively with diverse populations and lead peers in a professional manner (large scale events).
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
  • Ability to work flexible hours, including evenings, weekends, and holidays as required by event schedules.
  • Ability to perform effectively in fast-paced, high-profile environments.

Physical Requirements/ Working Conditions

  • Ability to stand and move for extended periods during event setup and execution.
  • Ability to lift and carry light to moderate materials, including event supplies and signage.
  • Work performed in both indoor and outdoor environments.
  • Flexible scheduling required, extended hours during major event weeks.

Preferred Qualifications

  • Previous experience in event planning, hospitality, customer service, or related campus involvement.
  • Experience supervising or coordinating volunteers or peer teams.
  • Familiarity with Canva or similar design and presentation tools.
  • Experience conducting research, analyzing data, and preparing reports or presentations.
  • Active involvement in student organizations or demonstrated leadership experience.
