Schedule: M-F 7:30am - 4pm, 52 weeks/year

Position Overview

The Staff Childcare Program Manager provides leadership, oversight, and strategic direction for the Staff Kids Inclusion Program (SKIP) at Little Light House, which includes staff children infants through 4 years old. This role ensures a loving, safe, and developmentally appropriate environment for all children while maintaining operational excellence across all SKIP classrooms, including infant and toddler classrooms.

The Staff Childcare Program Manager is responsible for supervising and supporting SKIP program staff, ensuring alignment with Little Light House curriculum and instructional practices under the guidance of the Director of Curriculum & Instruction, and maintaining compliance with all DHS licensing requirements.

This individual embraces their role as part of Little Light House Tulsa-a Christian ministry with Biblical core values-whose mission is to glorify God by improving the quality of life for children with special needs, their families, and communities.

Essential Duties and Responsibilities

  • Program Leadership & Oversight

  • Lead the overall planning, implementation, and daily operations of the SKIP program

  • Ensure all SKIP classrooms (including infant and toddler classrooms) are aligned, consistent, and following established Little Light House practices and procedures

  • Obtain and maintain DHS licensing for the SKIP program, ensuring all standards are consistently met

  • Monitor program quality and implement improvements as needed

  • Staff Supervision & Support

  • Supervise, support, and lead all SKIP program staff, including infant and toddler classroom staff

  • Provide coaching, feedback, and ongoing support to ensure staff effectiveness and growth

  • Foster a positive, collaborative, and accountable team culture

  • Ensure all classrooms are adequately staffed each day. Coordinate staffing needs, including scheduling substitutes and volunteers as needed

  • Step into classroom roles as needed to maintain safe and appropriate coverage

  • Oversee onboarding of new SKIP staff, including training, support, and completion of 30-, 60-, and 90-day evaluations

  • Conduct annual performance evaluations for all SKIP staff and provide ongoing performance feedback throughout the year

  • Request and coordinate volunteers to provide classroom coverage during all-staff events (e.g., staff Christmas party and annual staff retreat) to ensure SKIP staff can attend

  • Provide regular in-classroom support during afternoon programming, Fridays, and any time all SKIP children are present, including leading classrooms as needed to address staffing needs and model effective teaching practices

  • Curriculum & Instruction Alignment

  • Ensure the Little Light House curriculum and instructional practices are carried out within all SKIP classrooms

  • Ensure fidelity to curriculum standards by following the Curriculum Map provided by the Director of Curriculum & Instruction and implementing guidance accordingly

  • Attend any relevant curriculum-related trainings provided by Little Light House

  • Support and guide staff in implementing developmentally appropriate practices and activities

  • Ensure consistency in instructional approach across all SKIP classrooms

  • Training & Professional Development

  • Plan, schedule, and implement relevant training opportunities for SKIP staff

  • Track and monitor all staff members' professional development requirements to ensure timely completion of required trainings and ongoing compliance, including CPR certifications

  • Coordinate classroom coverage to allow staff participation in trainings

  • Plan and lead four SKIP staff training and collaboration days per school year to include team building, classroom cleaning/resetting, and professional development

  • Complete a minimum of 32 hours of professional development annually

  • Family Engagement & Communication

  • Hold quarterly informational SKIP parent meetings, plus additional meetings if necessary

  • Meet with parents individually as needed to provide support, guidance, and communication

  • Send weekly newsletter to SKIP families through Brightwheel including the week's snack and lunch menus, special activities for the week, needed supplies, and praise reports.

  • Communicate training and collaboration day schedules with SKIP families in advance to allow for alternative childcare arrangements

  • Ensure consistent, clear, and timely communication with families

  • Provide input and updates for the SKIP Parent Handbook annually.

  • Enrollment & Transition Coordination

  • Maintain open, consistent communication with the Director of the Developmental Center and SKIP classroom staff regarding all student transitions

  • Oversee and coordinate all transitions between SKIP classrooms and into the Developmental Center according to the SKIP Transition Procedure, ensuring proactive communication with staff and families

  • Manage transitions of staff children into the nursery following maternity leave, including timely and supportive communication with incoming mothers in accordance with established procedures

  • Facilitate and manage annual SKIP enrollment for all classrooms

  • Ensure accurate tracking, communication, and documentation related to enrollment and transitions

  • Program Coordination & Administration

  • Oversee scheduling, classroom logistics, and daily program operations

  • Manage SKIP waitlist, enrollment records, and classroom rosters

  • Maintain strict confidentiality of the SKIP waitlist and all related information, including sensitive staff and family updates

  • Ensure all classrooms are equipped with necessary supplies and resources, including tracking, managing, and maintaining the SKIP supply budget

  • Maintain accurate documentation and communication systems (e.g., Brightwheel)

  • Schedule and lead regular SKIP staff meetings and ensure clear, consistent team communication

  • Plan and schedule a regular SKIP staff prayer/devotional time

Supervision

  • The Staff Childcare Program Manager reports to the Tulsa Campus Director and takes direction from the Director of Curriculum & Instruction

  • The Staff Childcare Program Manager supervises the SKIP staff in all classrooms as well as SKIP volunteers

Qualifications & Skills

Required

  • Degree in Early Childhood Development (or equivalent)

  • Experience in early childhood education and staff supervision

  • Demonstrated ability to lead, coach, and support a team

  • Strong understanding of child development and developmentally appropriate practices

  • Excellent organizational, communication, and problem-solving skills

  • Ability to manage multiple responsibilities and adapt to changing needs

  • Obtain and maintain CPR certification

  • Demonstrates discretion and sound judgment with confidential information

  • Personal relationship with Christ demonstrated consistently in work and personal life

  • Works independently and collaboratively with all LLH staff

  • Demonstrates emotional maturity, stability, and a commitment to spiritual and professional growth

  • Maintains a welcoming and teaching attitude toward families, volunteers, and visitors

Working Conditions

  • Full time, exempt position.

  • Occasional evening and weekend hours required for events.

  • Ability to push, pull, lift, and carry 50lbs.
