Senior On-Site Services Specialist
Location: Chattanooga, TN 37402
Duration: 4 Months+

Position Overview
We are seeking a reliable and detail-oriented Senior On-Site Services Specialist to support mailroom operations, document processing, scanning, archiving, and general office services. The ideal candidate will have experience with mail sorting, document imaging, quality control, and customer-facing support while maintaining high service standards in a professional office environment.

Key Responsibilities

  • Perform high-volume mail sorting, distribution, and processing of incoming and outgoing mail.
  • Scan, index, image, archive, and digitally process documents while maintaining accuracy and quality standards.
  • Conduct quality checks on scanned and processed documents to ensure compliance with client requirements.
  • Operate and maintain high-volume production copiers, scanners, bindery, and finishing equipment.
  • Troubleshoot minor equipment issues, clear paper jams, replenish toner and paper supplies, and coordinate service calls when necessary.
  • Process shipping and receiving activities, including package handling and delivery.
  • Maintain daily workflow logs, service records, meter readings, and inventory reports.
  • Deliver completed jobs and materials to designated locations within client facilities.
  • Support conference room setups, office moves, and light facility maintenance as needed.
  • Respond professionally to customer inquiries regarding job status, service requests, and operational procedures.
  • Ensure mailroom, copy centers, and service areas remain organized, stocked, and operational.
  • Assist with filing, document retention, archiving, and records management activities.
  • Capture and maintain operational data for reporting and service metrics.

Required Qualifications

  • High School Diploma or GED.
  • 1–2 years of experience in mailroom operations, document management, records management, scanning, imaging, or office services.
  • Experience with document scanning, digital archiving, mail sorting, and quality control processes.
  • Proficiency in Microsoft Office Suite and general computer applications.
  • Strong attention to detail and organizational skills.
  • Ability to learn new processes quickly and adapt to changing priorities.
  • Excellent customer service and communication skills.
  • Ability to work independently and collaboratively with diverse teams.
  • Reliable transportation and dependable attendance.

Preferred Qualifications

  • Experience operating high-volume copiers, scanners, bindery, and production equipment.
  • Knowledge of shipping and receiving procedures.
  • Familiarity with Ricoh services, document management systems, and workflow processes.
  • Basic troubleshooting skills for office equipment.
  • Previous experience in records management, imaging, or document processing environments.

Physical Requirements

  • Ability to lift and move up to 50 lbs. (assistance available when needed).
  • Ability to stand for extended periods while sorting mail and processing documents.
  • Frequent handling of mail trays, boxes, and office equipment.
  • Ability to travel between buildings within the client campus when required.
