Senior Commercial Property Manager
 
Location: Central Florida

Position Summary
The Senior Commercial Property Manager is responsible for the day-to-day management, operational performance, and financial results of an assigned portfolio of primarily industrial properties, along with select office and flex assets totaling over $1.7m square feet. Reporting to the Director of Operations, this role serves as the primary operational leader for the portfolio, ensuring assets are maintained to the highest standards while delivering exceptional tenant service, maximizing financial performance, and executing property-level business plans.
 
The Senior Commercial Property Manager works closely with Asset Management, Leasing, Accounting, Construction, and other internal teams to maximize occupancy, tenant retention, operating efficiency, and asset value. The role oversees all aspects of property operations, including budgeting, lease administration, vendor management, capital projects, tenant improvements, risk management, and regulatory compliance.
 
In addition to operational leadership, the Senior Commercial Property Manager will leverage technology, data analytics, workflow automation, and AI-enabled tools to improve reporting, operational efficiency, tenant communications, and portfolio oversight.
 
Key Responsibilities
Property Operations
  • Direct the day-to-day management of an assigned portfolio of industrial, flex, and office properties.
  • Conduct regular inspections of buildings, building systems, parking areas, landscaping, and site improvements to ensure properties are maintained in accordance with company standards.
  • Coordinate routine maintenance, preventive maintenance programs, repairs, emergency response activities, and vendor services.
  • Identify operational risks and recommend solutions that improve property performance, reduce costs, and protect asset value.
  • Participate in capital planning by identifying building improvement needs and supporting long-term asset strategies.
Financial Management
  • Prepare annual operating budgets and periodic forecasts for assigned properties in collaboration with Asset Management and Accounting.
  • Monitor operating performance against budget and proactively identify opportunities to improve Net Operating Income (NOI).
  • Review and approve invoices, purchase orders, operating expenses, and service contracts within delegated authority.
  • Monitor accounts receivable, collections, operating expenses, and budget variances while partnering with Lease Administration and Accounting to resolve tenant billing issues.
  • Prepare monthly variance analyses and property performance reports for senior leadership.
Tenant Relations & Lease Administration
  • Serve as the primary point of contact for tenant relationships and deliver exceptional customer service throughout the lease lifecycle.
  • Coordinate tenant move-ins, move-outs, expansions, contractions, renewals, and day-to-day operational requests.
  • Develop proactive relationships with tenants to enhance satisfaction, improve retention, and identify expansion opportunities.
  • Interpret and administer commercial lease provisions, including rent escalations, operating expense recoveries, tenant obligations, insurance requirements, and critical lease dates.
  • Partner with Leasing to support tenant retention efforts, renewals, and vacancy reduction strategies.
  • Ensure vacant suites remain well maintained and show-ready to support leasing activity.
Vendor & Contract Management
  • Solicit competitive bids, negotiate service contracts, and oversee third-party vendors, contractors, and service providers.
  • Evaluate vendor performance to ensure quality service, cost efficiency, and compliance with company standards.
  • Ensure vendors maintain required insurance coverage and satisfy procurement requirements.
  • Supervise on-site engineers, maintenance personnel, and administrative support staff, where applicable.
Capital Projects & Tenant Improvements
  • Manage capital improvement projects, tenant improvement projects, and building upgrades from planning through closeout.
  • Coordinate project budgeting, contractor selection, scheduling, construction meetings, change orders, and project reporting.
  • Monitor project schedules, budgets, quality, and completion to ensure projects are delivered on time and within budget.
  • Maintain punch lists and oversee project closeout documentation.
Risk Management & Compliance
  • Ensure compliance with lease obligations, lender requirements, regulatory requirements, environmental standards, life safety requirements, and company policies.
  • Manage certificates of insurance, contractor compliance, safety programs, and risk mitigation initiatives.
  • Identify emerging operational risks and communicate mitigation strategies to senior leadership.
Reporting
  • Prepare regular operational reports, portfolio updates, and performance analyses for senior leadership and Asset Management.
  • Collaborate with Asset Management on property-level business plans, value creation initiatives, acquisitions, dispositions, refinancings, and due diligence activities.
  • Coordinate with Leasing, Accounting, Construction, and other internal departments to ensure seamless execution of portfolio initiatives.
  • Utilize Yardi, business intelligence tools, and AI-enabled technologies to improve operational reporting, workflow efficiency, and decision-making.
  • Lead or participate in special projects and operational initiatives supporting continued portfolio growth.
 
Qualifications & Experience
  • Bachelor's degree in Business, Real Estate, Finance, Property Management, or a related field preferred.
  • 5–8+ years of commercial property management experience with demonstrated success managing industrial, flex, and office assets.
  • Strong knowledge of commercial lease administration, budgeting, operating expense recoveries, CAM reconciliations, tenant relations, and property operations.
  • Experience managing capital improvement projects, tenant improvement projects, and construction coordination.
  • Proven experience supervising property staff, vendors, contractors, and third-party service providers.
  • Strong financial acumen with the ability to analyze operating statements, budgets, forecasts, variance reports, and key performance indicators.
  • Experience working collaboratively with Asset Management, Leasing, Accounting, and Construction teams within a commercial real estate environment.
  • Proficiency with Yardi or comparable property management software and advanced Microsoft Excel skills.
  • Excellent communication, leadership, organizational, and relationship management skills.
  • Strong analytical, problem-solving, and decision-making abilities with exceptional attention to detail.
  • Ability to manage multiple priorities and deadlines while maintaining a high level of customer service.
  • Valid driver's license and willingness to travel regularly throughout the assigned portfolio.
  • RPA, CPM, real estate license, or project management certification is a plus.
