Job Description:

  • The Senior Cash Application Specialist is responsible for overseeing and ensuring the accurate and timely application of customer payments to accounts receivable.
  • This role requires advanced knowledge of cash application processes, strong analytical skills, and the ability to resolve complex issues.
  • The senior specialist will serve as a subject matter expert, mentor junior team members, and collaborate cross-functionally to improve processes and maintain financial integrity.

Responsibilities:
Advanced Cash Application:
  • Apply and reconcile high-volume, complex cash transactions daily, including ACH, wire transfers, checks, and credit card payments.
  • Manage escalated issues related to unapplied cash, short payments, and deductions.

Leadership & Mentorship:
  • Provide guidance and training to junior cash application specialists.
  • Act as a resource for resolving complex customer payment issues and system discrepancies.

Process Improvement & Analysis:
  • Analyze cash application trends and recommend process enhancements to improve efficiency and accuracy.
  • Assist in developing and implementing automation tools and best practices for cash application.

Cross-Functional Collaboration:
  • Partner with Collections, Sales, Customer Service, and Finance teams to resolve payment discrepancies and improve customer experience.
  • Communicate proactively with internal stakeholders regarding potential problem accounts and payment delays.

Reporting & Compliance:
  • Prepare and review daily, weekly, and monthly reconciliation reports for management.
  • Ensure compliance with internal controls, SOX requirements, and company policies.

System Expertise:
  • Serve as a subject matter expert for ERP systems (Dynamics AX, Great Plains, etc.) and customer portals (Ariba, Coupa, etc.).
  • Participate in system upgrades, testing, and implementation projects related to cash application.

Special Projects:
  • Lead initiatives related to cash application process improvements, including automation and integration projects.
  • Support audits and provide documentation as required.

Requirements:
  • 3 years cash application experience with large volume, high profile accounts.
  • Cash application expertise, End To End AR operations skills (order to cash skills), & Analytical & Problem solving
  • Advanced knowledge of cash application process.
  • Advanced proficiency in MS Excel (pivot tables, VLOOKUP, data analysis).
  • Strong knowledge of ERP systems and customer portals.
  • Excellent problem-solving, time management, and communication skills.

Education:
  • High School Degree / GED Required.
