The Senior Business Analyst serves as the strategic business and technology partner for the Billing & Records departments, driving operational excellence through systems optimization, business process improvement, reporting, and technology initiatives. This role combines business analysis, application ownership, project leadership, and data analytics to improve firm operations, support strategic decision-making, and deliver exceptional service to internal clients. The Senior Business Analyst works closely with Firm Leadership, Information Technology, attorneys, legal support professionals, and external vendors to implement innovative solutions that enhance efficiency, strengthen controls, and support the Firm's long-term business objectives.

WORK SCHEDULE

This position is based in a professional office environment in Minneapolis and is designated for a hybrid work schedule with expectations to work in the office Wednesday and Thursday each week. The individual in this role is expected to work the hours necessary to fulfill the responsibilities of the position. Additional hours may be required during month-end and year-end closings, system deployments, and special projects. Limited after-hours support may occasionally be required during major system implementations or production deployments.

ESSENTIAL FUNCTIONS

  • Serve as the primary owner and subject matter expert for Billing and Records applications, operational workflows, procedures, policies, and related business processes.
  • Serve as the primary escalation point for complex operational and system-related issues, researching root causes, recommending solutions, and driving issues through resolution.
  • Partner with department leadership to identify strategic opportunities for process standardization, improved efficiency, stronger controls, and enhanced service delivery.
  • Own the business administration, optimization, and continuous improvement of department applications, including Elite (3E), Aderant, Intapp, Billblast, BillStream, eBH, SharePoint, and related systems.
  • Serve as the primary liaison between Billing & Records, Information Technology, and technology vendors for system enhancements, software updates, issue resolution, and implementations.
  • Lead cross-functional business process improvement and technology initiatives through implementation, business readiness, user adoption, training, and post-implementation support.
  • Develop testing strategies, test scripts, implementation plans, and user acceptance testing processes; manage defect tracking and deployment validation.
  • Develop and execute communication plans, user adoption strategies, training, and organizational change management.
  • Design, develop, and maintain operational, financial, management, and executive control reports, including WIP management reporting and key departmental metrics.
  • Analyze trends, identify issues, and provide recommendations to department leadership to support business decisions and operational performance.
  • Develop and maintain process documentation, workflow diagrams, standard operating procedures, user guides, and training materials.
  • Serve as trusted advisors by providing training, guidance, and stakeholder support for attorneys, legal administrative assistants, billing specialists, records specialists, and department managers.
  • Support quality assurance, compliance, audit requests, strategic initiatives, and special projects as needed.
  • Lead month-end billing activities, including proforma generation, validation, and issue resolution.
  • Perform other duties and special project as needed.
  • Drive cross-functional operational support for critical department functions, including conflict searches, to ensure business continuity during peak workloads or staff absences.

KNOWLEDGE AND SKILLS REQUIRED

  • Proven experience leading system implementations, enhancements, testing, and process improvement initiatives.
  • Demonstrated ability to independently manage complex system issues, own testing and validation efforts, and provide expert guidance on business processes.
  • Demonstrated experience serving as functional owner or subject matter expert for business systems and operational workflows.
  • Strong analytical and critical thinking skills, including the ability to identify root causes, assess business impact, and develop effective solutions.
  • Advanced reporting and data analysis skills, including development of control reports, dashboards, KPIs, Power BI, SSRS, and operational metrics.
  • Advanced proficiency with Microsoft Office tools, including advanced Excel functions, data analysis, and reporting.

EDUCATION AND EXPERIENCE REQUIREMENTS 

  • Bachelor's degree in Business, Finance, Accounting, Information Systems, or a related field, or an equivalent combination of education and experience.
  • Minimum 5+ years of progressively responsible experience in business analysis, financial operations, billing, records management, or related operational functions

PHYSICAL DEMANDS OF POSITION 

Work is performed in a professional office environment and requires the following during the workday: 

  • Must be able to remain in a stationary position for long periods of time (working at a computer)
  • Ability to move/traverse throughout the office intermittently throughout the day (attend meetings, access file cabinets, obtain supplies from supply room, etc.)
  • Operate computer and other office equipment such as a copy machine, printer, telephone, etc.
  • Repetitive movement (i.e. heavy computer/keyboard use).
  • Individual will interact regularly with others verbally, in-person, and via written communication.
  • May require occasional light lifting (files, copy paper, etc.).

The estimated salary range for this position is $72,900 - 85,000 per year. This is an exempt position not eligible for overtime. The compensation offered will be dependent on the candidate's experience, skills, education, professional background, overall qualifications, and geographic market location.
