Job Summary and Qualifications The Specimen Processing Coordinator acts as a receptionist to outpatients and physicians coming into the department. Relieves the Med Techs of clerical duties such as faxing, mailing reports, getting verbal orders signed, updating outdated standing orders, giving results to physician offices, etc. Oversees reference library. Courier, send outs, pathology samples, and phlebotomy staff. Provides administrative assistance to Lab Supervisor, Leads, Pathologist, and Laboratory Director. Collaborate with department heads to understand the requirements of different processes and streamline workflows. Manage team members assigned to the phlebotomy and processing sections. Accurately provides billing services for reference labs within 24 hours. Functions as a registrar. Performs phlebotomy and courier as needed. Participates in CQI activities. Responsible for all CAP Regulations that pertain to outpatient, processing, and front office items. Major Responsibilities: • Coordinates front office, specimen processing, courier, and phlebotomy operations to support efficient laboratory workflow and quality patient care. • Serves as the primary point of contact for outpatients, physician offices, and hospital departments by providing professional communication, patient registration, scheduling support, and resolution of routine inquiries. • Performs and oversees specimen collection, processing, labeling, handling, transport, and referral laboratory send-outs in accordance with established policies, CAP standards, and regulatory requirements. • Provides administrative and operational support to laboratory leadership, pathologists, and technical staff, including reporting, documentation, correspondence, record maintenance, and departmental coordination. • Reviews laboratory orders, billing, coding, and charge processes to ensure accuracy, compliance, medical necessity, and timely result reporting. • Coordinates staffing, scheduling, training, onboarding, competency assessment, and daily workflow activities for phlebotomy and specimen processing personnel. • Maintains laboratory supplies, inventory, forms, test codes, and reference materials to ensure uninterrupted departmental operations. • Assists with laboratory information systems, troubleshooting, test maintenance, report generation, and resolution of interface or workflow issues. • Promotes patient satisfaction and service excellence by utilizing effective communication techniques, maintaining professionalism, and supporting a positive patient experience. • Ensures compliance with hospital policies, safety standards, infection prevention practices, OSHA requirements, HIPAA regulations, and applicable laboratory accreditation standards. • Participates in quality improvement, process improvement, patient safety, and performance improvement initiatives to support departmental and organizational goals. • Performs courier duties, phlebotomy support, and other related responsibilities as assigned to meet operational and patient care needs. Licenses, Certifications, & Training: Grace Period: • Phlebotomy certification from a reputable entity. Required N/a • Basic Life Support (BLS) Certification Required 7 Days Education & Experience: • High school diploma or GED Required • 2+ years working in an acute care setting, namely a hospital. Required • Two years of experience in a supervisory/management position. Preferred Or equivalent combination of education and/or experience Knowledge, Skills, & Abilities: • Laboratory Knowledge: Knowledge of laboratory operations, specimen processing, phlebotomy procedures, medical terminology, laboratory billing practices, and regulatory standards including CAP, OSHA, and HIPAA requirements. • Organization & Prioritization: Strong organizational, prioritization, and multitasking skills with the ability to manage multiple responsibilities and interruptions in a fast-paced healthcare environment. • Communication Skills: Effective verbal and written communication skills with the ability to interact professionally with patients, physicians, staff, leadership, and external clients. • Attention to Detail: Ability to maintain accuracy while reviewing laboratory orders, patient information, test requests, billing documentation, and specimen handling processes. • Technical & Computer Skills: Knowledge of laboratory information systems, computer applications, office equipment, and basic troubleshooting related to laboratory workflow and reporting systems. • Leadership & Teamwork: Ability to lead, train, support, and coordinate staff while fostering teamwork, accountability, professionalism, and excellent customer service. • Judgment & Adaptability: Ability to work independently, exercise sound judgment, maintain confidentiality, and adapt to changing operational and patient care needs. • Professionalism & Compassion: Demonstrates professionalism, compassion, integrity, and respect while promoting a positive patient experience and collaborative work environment. • Honors our Mission and Values: Ability to build trust and act with authenticity to cultivate a culture of integrity, inclusion, and mutual respect.
