TITLE: Special Services Secretary

LOCATION: Bellingham Memorial School

SALARY:As per AFSCME Contract [$23.18/hour - $26.95/hour]- up to 30 hours per week

SCHEDULE: Six (6) Hours/Day, 30 hours a week / 5 extra days as determined by the Assistant Superintendent of Student Services or Superintendent of Schools

SECRETARY DUTIES:

  1. Maintains a regular filing system and processes incoming correspondence as required.

  2. Arranges scheduling and canceling of meetings and conferences including invitations.

  3. Handles incoming telephone calls, takes messages, places calls, in a courteous and professional manner.

  4. Organizes and assists in maintaining and preserving all public records and supporting files

or ready accessibility.

  1. Able to maintain multiple compliance logs using a variety of digital formats.

  2. Is responsible for preparing reports as required by the Team Chair.

  3. Able to closely monitor timelines.

  4. Prepares purchase orders as needed or upon request.

  5. Ability to work independently and within a team.

  6. Any other districts as assigned by the Team Chair or Assistant Superintendent of Director of Student Services.

SPECIAL EDUCATION SECRETARY DUTIES:

  1. Works cooperatively with special education staff, particularly School Psychologist and Team

Chair, in collecting necessary clerical data.

  1. Schedules team meetings, prepares paperwork necessary for meetings.

  2. Prepares all documents pertaining to the special education department.

  3. Performs office tasks as required by the Special Education Team Chair.

  4. Compiles reports as directed and assists in maintaining and preserving all public records

and accurate files.

  1. Confidentiality of work performed must be maintained.

  2. Review and edit Individual Education Plans.

  3. Send reminders to staff to ensure IEP's are completed in accordance with mandated

timelines.

  1. Adheres to the adopted policies of the Bellingham School Committee.

QUALIFICATIONS:

  1. Minimum - High School Graduate, Associates Degree - Preferred

  2. Extensive experience in office and clerical work.

  3. Proficient with knowledge of Microsoft Office and Google Suite.

  4. Must demonstrate neatness in appearance and work.

  5. A high degree of patience and tact in dealing with students, parents, faculty, and the

general public.

  1. Preferred Student Information System background.
