Special Services Management Support Specialist

The job of Special Services Specialist Management Support is done for the purpose of providing support to the educational process with specific responsibilities for providing a wide variety of complex and confidential administrative assistance support to assigned administrator; conveying information regarding department functions and procedures; ensuring efficient operation of support functions; and ensuring smooth and efficient operation of the Special Services District's business operations in a customer centered, policy guided manner.

  • This job reports to the Assistant Superintendent of Special Services
  • This position is a 260-day, 7.5 hr./day, full-time, benefits-eligible position.
  • The starting salary range for this position is $42,744.52 - $68,340.52. Salary will be commensurate with full-time, parallel years of experience.

Essential Functions:

  • Assists parents and patrons (e.g., liaisons for parents, schools, and staff, ) for the purpose of providing information and developing support.
  • Coordinates a wide variety of projects, functions, and/or program components (e.g., answering phones, making appointments, collecting directory information, arranging all travel arrangements, entering hotel registration and airfares into software, arranging and coordinating travel for students, etc.) for the purpose of providing office management for District Special Services department.
  • Inputs data into student information system (Power School) and Special Education software (SpedTrack) (e.g., homebound attendance, special education staff assignments, case management, etc.) for the purpose of ensuring accuracy of data.
  • Maintains a wide variety of manual and electronic documents, files, and records (e.g., special education records, budget data, employee records, inventory records, financial records, reports, etc.) for the purpose of providing up-to-date information and/or historical references in accordance with established administrative guidelines and legal requirements.
  • Maintains confidentiality of student and employee confidential files and records (e.g., health care plans, agency referrals, accident reports, student records, disability information, ) for the purpose of providing information required by legal requirements and professional standards.
  • Monitors a wide variety of activities on behalf of assigned Administrator (e.g. program components, meeting arrangements, department web pages, account balances, work order status, homebound, student discipline, student information system reports, SpedTrack reports, ) for the purpose of achieving goals and meeting target dates in compliance with established guidelines and regulatory requirements.
  • Participates in a variety of meetings, workshops, and/or trainings for the purpose of providing or receiving information, recording minutes, and supporting the needs of the attendees.
  • Prepares a wide variety of processes, documents, reports, of a confidential and non-confidential nature (e.g. personnel reports, progress monitoring, student grades, Department meeting processes, correcting procedures manuals, contractual staff work schedules, student records for state and federal reporting and legal proceedings, student discipline, homebound services, ) for the purpose of documenting activities, providing written reference, and conveying information.
  • Presents information on administrative procedures (e.g., department/program policies, submission procedures, ) for the purpose of orienting new personnel and/or disseminating information to existing personnel.
  • Procures supplies and materials for the purpose of maintaining availability of required items (e.g., assessment materials, materials for the blind and visually impaired, etc.).
  • Provides assistance to staff and staffing processes (e.g. preparation of all District staff'in service' training, scheduling and arranging Special Services staff evaluations and paraprofessional training form for the Assistant Superintendent and Director, assigning of usernames in SpedTrack, etc.) for the purpose of organizing assignments, monitoring progress, and ensuring completion within established guidelines.
  • Represents assigned Administrator in their absence for the purpose of conveying and/or gathering information required for their functions.
  • Researches a variety of topics (e.g., current practices, policies, DESE manuals and standards, assessment information, ) for the purpose of providing information and/or recommendations that address a variety of administrative requirements.

Skills, Knowledge, and Abilities

Skills are required to perform multiple tasks with a need to occasionally upgrade skills in order to meet changing job conditions. Work Environment:

The usual and customary methods of performing the job's functions require the following physical demands: some lifting, carrying, pushing, and/or pulling, some stooping, kneeling, crouching, and/or crawling and significant fine finger dexterity. Generally the job requires 80% sitting, 10% walking, and 10% standing. This job is performed in a generally clean and healthy environment.
