ThePortage County Health & Human Servicesdepartment is currently hiring a part-timeSpecial Needs Unit Program Assistantto support the Special Needs Programs team.Please Note: This position is currently fundedfor up to 30 hours a week through the end of 2026. Effective January 1, 2027, the position hours will decrease to 22 hours per week, however, will still be eligible for health & dental insurance,vacation and sick leave accrual.

Pay ranges starts at $19.95 / hr

Summary of Position:

This position provides paperwork assistance to the Special Needs Programs Staff, especially in the area of the Birth to Three Program. The position will support the entire Birth to Three Team in being able to be more efficient in their job duties by completing much of the paperwork and organizational tasks so that they are able to serve more families directly. It will also provide some paperwork and organizational support to the Children’s Long Term Support staff and Special Needs Programs Supervisor.


What are the primary job duties?

Provides paperwork assistance and organizational support for the entire Birth to Three Team.
  • Organize and maintain client files. Copying and sending documentation while being cognizant of the confidentiality and documentation requirements.
  • Update and distribute resources and program information for new families.
  • Update and distribute resources and program information for local school districts and referral sources.
  • Assisting with making any form changes.
  • Requesting and tracking Physician Prescriptions and Plans of Care for children enrolled in the Birth to Three Program.
  • Request and document collateral information as requested.
  • Assist with preparing program surveys and compiling results.
  • Assist with facilitating web page updates.
  • Organizing and tracking program deadlines and assisting with compiling program statistics.
  • Assist with the Birth to Three Program record review to ensure compliance with program requirements.
  • Schedule and attend weekly team meetings.
  • Assist with internal program and therapy documentation audits.
  • Initiate and maintain communication with local school districts for Child Find activities and ensuring follow through with the Birth to Three Interagency Agreement.


What are the minimum qualifications?
  • High school diploma or equivalent required.
  • One year experience of office support or data entry preferred.
  • One year experience working in the human services field preferred.
  • Experience or knowledge of Birth to Three program preferred.
  • Experience or knowledge of Children’s Long Term Support programs preferred.
