Job Summary

This position is located at SPECIAL EVENTS, CAMP FOSTER. Candidates selected for this position will serve as a SPECIAL EVENTS COORDINATOR.

Major Duties

JOB TITLE: Events Coordinator

INTRODUCTION:
This is a mixed position to provide a broad range of coordination, supervision, as well as logistic support responsibilities and to work closely with commands, units, and all MCCS branches for a wide range of activities, tournaments, events, and special events. Working directly for the Assistant Entertainment/Special Events Program Manager, the position serves to increase patronage and improve customer satisfaction through enhancement of activities and image. This position is required to work outdoors a majority of the time.
DUTIES AND RESPONSIBILITIES:
Plans and supports a variety of commands and units events, e.g., Change of Command, Post and Relief, Retirements, Return Reunions, Deployment Readiness Coordinator (DRC)/ CSC sponsored unit family days, etc., recreational and cultural activities e.g., camp festivals, flea market, and other ceremonies, ensuring that maximum support is provided to conduct quality and successful events.
Supports special events and activities planned by MCCS branches. Plans and carries out these events in coordination with the facility¿s representatives. Provides expertise, assistance, and operational continuity ensuring successful events and activities.
May need to operate a 4-ton truck and or forklift to transport requested equipment throughout installations, over public road and expressway in all traffic conditions and unloads at assigned locations. Independently or with assistance, sets up temporary prefabricated units, platform, tents, stages, food service facilities, play areas, etc. Dismantles and stores equipment, and clears the area after the events. Provides on-site logistic support and prepares layout to include lighting, sound, electricity, restroom facilities, necessary manpower, etc.
Coordinates logistical and administrative support for MCCS events and festivals, including scheduling of events at local sites, preparing facility requests, risk management (RM), activity training environment management plan (ATEMP) paper work, and coordinating PMO support, transportation request, marketing support request (MSR), and contract employees assigned to support all manner of activities, tournaments, events, and special events.
Expands, revises, adapts, or otherwise changes plans, and modifies on-scene events/activities as developments require in a time sensitive manner/situation. Ensures that the events are conducted in accordance with the policy and procedures.
Completes an After-Action Report (AAR) for assigned special events to recount all important/key information and other suggestions and recommendations to facilitate and enhance future events.
Recommends programs, events, and management plans for the special events program including budget proposals, staffing requirements, problem identification and resolution. Prepares financial statements as necessary.
Stimulates and motivates participation in events by working closely with Marketing to execute a world class, island-wide publicity program and by utilizing all available publicity and media sources which may include radio, television, magazines, public affairs releases, posters, flyers, banners, calendars, and newspapers.
Assists in the preparation of data for appropriated and non-appropriated fund budgets and ensures budget requirements meet program demands.
Assists the Entertainment/Special Events Program Managers with direct and daily coordination, interaction, and planning with the MCCS Community Service Coordinators/ Leaders/ Representatives for the southern camps (i.e. Foster/Lester, Kinser, and MCAS Futenma). Also, provides alternate interface with the northern camp MCCS Directors/ Leaders/Representatives (i.e. Camps Courtney, Hansen, Schwab, and Fuji).
Provides World Class Customer Service with an emphasis on courtesy. Assists customers and communicates positively in a friendly manner. Acknowledges customers, smiles and makes eye contact. Asks questions to determine, verify and solve problems. Checks for satisfaction on the quality of goods and services. Takes action to solve problems quickly. Alerts the higher-level supervisor, or proper point of contact for help when problems arise.
Adheres to safety regulations and standards. Uses required safety equipment and observes safe work procedures. Promptly reports any observed workplace hazards, and any injury, occupational illness, and/or property damage resulting from workplace mishaps to the immediate supervisor.
Adheres to established standards of actively supporting the principles of the EEO program and prevention of sexual harassment.
Performs other related duties as assigned.
