Work is performed under the general direction of the Special Events Manager. EQUIPMENT/JOB LOCATION: Work is typically performed at the Rev. Dr. Martin Luther King, Jr. City Government Center. Work involves the use of various machines such as a computer, scanner and printer, copy machine, telephone, smartphone and other technological devices as necessary or required. Duties are typically performed weekdays from 8:00 a.m. to 5:00 p.m.; however, this position requires flexibility to include availability during evenings, weekends and holidays. ESSENTIAL FUNCTIONS: Work involves, but is not limited to:
Assist with the logistical planning efforts of single and multi-day events hosted by the city including the Ice & Fire Festival, Artsfest, July 4th Food Truck Festival, Kipona Festival, Holiday Parade, and New Year's Eve Celebration. Manage hundreds of vendor relationships including communications, development of applications and policies, layouts, set-up needs, tracking of payments and insurance, on-site coordination, surveys, and more. Cultivate and nurture relationships with local businesses to encourage their participation in our events. Must continuously identify and connect with prospective new vendors and add them to our database. Assist with managing planning & debrief meetings with internal units, run-of-show schedules, and more. Assist with managing event set-up and event day coordination. This includes marking vendor spaces, hanging signage, coordinating vendors & contractors, providing direction to the internal operations teams, managing the information tent, troubleshooting issues as they arise, and more throughout the event. Continuously assess event programming and processes to make improvements that enhance the vendor and attendee experience, streamline operations, and result in cost savings and increased revenues. Identify new attractions and programming to incorporate into events. Assist with accounting processes such as invoice entries and payments. Participate in media interviews with approval from the Special Events Manager. Answers questions from vendors and the general public via phone, email or in-person. Assist with recruiting volunteers to assist at the information table and other activities during events.
NON-ESSENTIAL FUNCTIONS: Performs other duties as assigned. REQUIRED KNOWLEDGE AND ABILITIES:
Thorough knowledge of event planning and management. Excellent organizational skills and the ability to problem solve and handle multiple tasks professionally. Excellent ability to anticipate and deliver project schedules and deadlines. High attention to detail, clear communication skills, and a creative team player. Ability to create and maintain accurate records. Basic skills using the Adobe Creative Cloud. Excellent personal computer skills in a Windows operating system environment utilizing Microsoft Office and Adobe Creative Suite. Ability to establish and maintain effective working relations with supervisor, co-workers, community groups, businesses, and non-profit corporations. Ability to stand/walk for long periods of time in a wide variety of weather conditions.
QUALIFICATIONS: Bachelor's degree in Event Management, Business Administration, or related field, plus at least two years of professional event planning and marketing experience. Basic skills in the Adobe Creative Cloud is required. Experience with sponsorship development is a plus. Other equivalent combinations of experience and training which provide the required knowledge and abilities will also be considered. A valid Pennsylvania Driver's License, Class C, is also required.
