Position Philosophy: The duties of the Defectives & Cash Office Coordinator position are to be performed by demonstrating and encouraging Stan’s Merry Mart’s core values.
The Defectives & Cash Office Coordinator is responsible for accurately processing defective merchandise returns, maintaining proper documentation, and completing daily cash office procedures. This position plays an important role in protecting company assets by ensuring defective merchandise is properly handled and returned while maintaining accurate cash handling procedures, deposits, and financial records.
This position requires a high level of organization, attention to detail, confidentiality, and accountability. The Defectives & Cash Office Coordinator must follow established company procedures while communicating effectively with vendors, management, and team members to resolve discrepancies and maintain accurate records.

Essential Duties and Responsibilities:
Defective Apparel & Footwear Responsibilities:
- Manage all defective apparel and footwear merchandise according to Stan’s Merry Mart procedures and vendor requirements.
- Inspect clothing and shoes for defects, damage, quality issues, missing components, or customer dissatisfaction.
- Verify defective merchandise and determine appropriate action based on vendor guidelines and company procedures.
- Maintain accurate documentation and records related to apparel and footwear defective returns.
- Communicate with vendors through phone and email to obtain return authorizations, credits, and resolve defective merchandise issues.
- Work with appropriate departments and management to coordinate the return, shipment, or disposal of defective apparel and footwear.
- Ensure defective apparel and footwear are processed in a timely manner to maximize vendor credits and minimize inventory loss.
- Report discrepancies or recurring product issues to management and applicable buyers.
- Maintain organized defective merchandise areas and ensure products are properly labeled and separated during the return process.
- Follow Stan’s standards and procedures regarding defective apparel and footwear practices.
Cash Office Responsibilities:
- Perform daily cash office procedures according to company policies and established guidelines.
- Count the previous day's register tills accurately and verify cash amounts.
- Pull daily deposits and ensure all required documentation is completed accurately.
- Prepare register bags with the required starting cash amounts for daily operations.
- Ensure deposits are delivered to the bank in a timely and secure manner.
- Maintain confidentiality of cash handling procedures and company financial information.
- Review register totals and identify any discrepancies, shortages, or overages.
- Report cash discrepancies to the management team for review and investigation.
- Assist management with researching cash variances and providing necessary documentation.
- Maintain organized and accurate cash office records.
General Responsibilities:
- Maintain courteous and professional relationships with vendors, customers, delivery drivers, and team members.
- Attend all applicable training and complete required certifications.
- Follow and comply with all applicable safety procedures and company policies.
- Operate all equipment in a safe and proper manner.
- Perform other related duties as assigned.
- Provide customer service support throughout the store as business needs require.
- Assist customers by answering questions, locating merchandise, and providing a positive shopping experience.
- Provide coverage for department personnel during breaks, lunches, or other staffing needs.
- Assist with stocking merchandise, replenishing shelves, and maintaining organized sales floor displays.
- Support other store operations and departments as directed by management to ensure efficient daily operations.
- Maintain a clean, safe, and welcoming environment for customers and fellow team members.
Required Knowledge Skills and Abilities:
- High school diploma or equivalent required.
- Previous retail, cash handling, inventory, or administrative experience preferred.
- Strong attention to detail and ability to maintain accuracy with financial transactions and paperwork.
- Ability to handle confidential information appropriately.
- Ability to prioritize and multitask in a fast-paced retail environment.
- Ability to work independently while maintaining strong communication with store leadership and team members.
- Ability to communicate effectively with vendors, customers, and employees.
- Ability to perform simple math operations (addition, subtraction, multiplication, and division).
- Basic computer knowledge and ability to learn company systems.
- Ability to follow established procedures and identify/report discrepancies.
Physical Demands:
- Tolerate inside/outside temperatures (heat/cold).
- Stooping and bending.
- Ability to reach, bend, balance, lift, and transport various objects weighing up to 30 lbs repeatedly throughout the shift.
- At times, product weight may reach 50 lbs.
- Ability to stand and walk for extended periods.
- Ability to safely transport deposits to financial institutions as required.
- Ability to operate necessary store equipment.
