Position Overview
The Social Quarters Manager is responsible for the overall management and daily operations of the Lodge’s Social Quarters, including bar, kitchen (if applicable), member service areas, and social events. This role ensures a welcoming, safe, and financially responsible environment for members and guests while supporting the Lodge’s fraternal mission.
The Social Quarters Manager oversees staff, maintains compliance with liquor laws and health regulations, manages inventory and budgets, and works closely with Lodge leadership to enhance member engagement and satisfaction.
Key Responsibilities
Operational Management
- Oversee day-to-day operations of the Social Quarters
- Ensure a clean, safe, and welcoming atmosphere for members and guests
- Maintain consistent hours of operation as directed by Lodge leadership
- Coordinate with Lodge officers on meetings, events, and special functions
Financial Oversight
- Manage Social Quarters budget and operating expenses
- Monitor daily sales, deposits, and cash handling procedures
- Collects membership dues, committee funds and other collections
- Reconcile receipts and oversee point-of-sale systems
- Control costs related to food, beverages, and supplies
- Prepare regular financial reports for the Lodge Board
Bar & Food Service Management
- Ensure compliance with all state and local liquor laws
- Maintain required alcohol licenses and food service permits
- Monitor responsible alcohol service practices
- Oversee menu planning (if applicable) and product offerings
- Ensure proper food safety and sanitation standards are met
- Must have current MAST Certification
- Must have current Food Handles Card
Inventory Control
- Order and manage inventory of beverages, food, and supplies
- Conduct regular inventory counts and reconcile discrepancies
- Maintain relationships with vendors and negotiate pricing when possible
- Minimize waste and prevent loss
Staff Supervision
- Recruit, hire, train, and supervise bartenders, servers, and bar kitchen staff
- Prepare staff schedules, manage labor costs, prepare time sheets
- Hold monthly staff meeting to provide training on customer service, compliance, and Lodge policies
- Address performance issues and maintain a positive team environment
Member Engagement & Events
- Support and promote Lodge activities, special events and seasonal decorations
- Collaborate with committees to plan social functions
- Create a member-focused atmosphere that encourages participation and retention
- Gather feedback from members to improve service and offerings
Compliance & Risk Management
- Enforce Lodge policies and house rules
- Maintain safety procedures and emergency protocols
- Ensure compliance with health, fire, and safety regulations
- Protect Lodge assets through strong internal controls
Qualifications
- Experience in bar, restaurant, or hospitality management required (3yr.)
- Knowledge of liquor laws and responsible alcohol service practices (3yr.)
- Gambling/Pull-tab experience (3yr.)
- Knowledge of WSGC Rules and Regulations (3yr.)
- In-depth understanding of POS systems and credit card processes
- Excellent knowledge of Microsoft Office Suite and Quick Books
- Strong financial and cash-handling skills
- Leadership and team management experience
- Excellent communication and customer service skills
- Ability to work evenings, weekends, and holidays as needed
- High level of integrity and accountability
- Must have a valid Washington State driver’s license
- Must be able to pass back ground check and drug test
Reporting Structure
The Social Quarters Manager reports to the Lodge President and Board of Officers and works collaboratively with the Lodge Administrator and other managers.
Work Environment
This position requires on-site supervision during operating hours, including evenings and weekends. The role involves standing for extended periods and managing a fast-paced hospitality environment.
