    Job Description

    Job Description Summary:

    The Site Services Manager is responsible for leading and optimizing site-wide support functions to ensure efficient, cost-effective, and high-quality service delivery. This role oversees a diverse team and drives operational excellence across administrative, analytical, procurement, and project management functions. The ideal candidate brings strong expertise in procurement strategy, cost savings initiatives, and team leadership, with a continuous improvement mindset.

    Job Responsibilities

    Leadership & Team Management

    • Lead, mentor, and develop a cross-functional team including but not limited to: Coordinator Assistants, Administrative Assistant, Data Analyst, Project Manager, and Procurement Specialist
    • Set clear goals, monitor performance, and foster a collaborative, high-performing team environment
    • Support employee development through coaching, training, and succession planning

    Operational Excellence

    • Oversee daily site services operations to ensure efficiency, consistency, and alignment with organizational goals
    • Identify process improvement opportunities and implement streamlined workflows
    • Partner with cross-functional teams to support site needs and business priorities

    Procurement & Cost Management

    • Drive procurement strategies that maximize value and ensure compliance with company policies
    • Lead cost savings initiatives, including vendor negotiations, contract optimization, and spend analysis
    • Monitor budgets, track savings, and report on financial performance related to site services

    Project & Program Management

    • Oversee and support site-level projects, ensuring timely delivery and alignment with scope and budget
    • Collaborate with the Project Manager to prioritize initiatives and manage resources effectively
    • Utilize data and metrics to evaluate project outcomes and inform decision-making

    Data & Reporting

    • Leverage data analytics to identify trends, improve operations, and support strategic decisions
    • Ensure accurate reporting and visibility into key performance indicators (KPIs)
    • Partner with the Data Analyst to enhance reporting tools and dashboards

    Procurement & Vendor Management

    • Manage vendor relationships, including selection, performance evaluation, and contract compliance
    • Ensure service levels meet expectations and address any performance gaps proactively

    Sustainability (Preferred)

    • Support or lead sustainability initiatives related to site operations, waste reduction, and resource optimization
    • Identify opportunities to improve environmental impact while maintaining cost efficiency

    Additional Responsibilities

    • Serve as the Subject Matter Expert (SME) for all site service/TLS activities
    • Partner with customer safety representatives to maintain a high level of laboratory safety and compliance
    • Participate in floor/building oversight meetings and maintain regular communication with key stakeholders to proactively address and resolve issues
    • Collaborate closely with the Service Manager to drive talent development, workforce planning, and overall business performance
    • Identify opportunities for service expansion and support business growth through collaboration with internal and customer stakeholders
    • Lead hiring activities including interviewing, selection, and onboarding of new team members
    • Address employee performance and disciplinary matters in alignment with company policy
    • Develop, implement, and maintain SOPs, work instructions, and supporting documentation to ensure consistent service delivery
    • Ensure compliance with all health, safety, environmental, and security policies and procedures
    • Maintain readiness for regional travel based on business needs.

    • ​Self-motivated and ability to work under pressure to prioritize conflicting deadlines.  
    • ​Ability to work collaboratively with international counterparts to achieve global objectives.​ 

    Basic Qualifications:

    • Bachelor’s degree in Business, Operations, Supply Chain, or related field (or equivalent experience)
    • Proven experience in procurement, vendor management, and cost savings initiatives
    • Demonstrated leadership experience managing diverse teams
    • Strong analytical, problem-solving, and decision-making skills
    • Excellent communication and stakeholder management abilities

    Preferred Qualifications:

    • Experience working in a research laboratory environment with experience within the pharmaceutical industry is highly preferred.
    • Expertise in data analysis
    • Strategic thinking and execution
    • Leadership and team development
    • Financial and business acumen
    • Project management experience or certification
    • Knowledge of laboratory safety practices.
    • Knowledge of 5S and/or 6 sigma principles.

    Working Environment:

    • Must be able to work in a laboratory, controlled environments requiring personal protective equipment (e.g., lab coat, safety glasses, etc.) in laboratory. 
    • Job pace may be fast and job completion demands may be high. 
    • Must be able to remain in a stationary position more than 25% of the time
