Position Location:

This position will be located onsite in San Diego, California.

Job Overview:

Under direction of the Project Manager, the incumbent will provide daily administrative and program support. Incumbent receives and evaluates work orders and requests, investigates requests or problems where appropriate, and establishes priorities. Interacts professionally with contractors, vendors and corporate staff members, maintains effective working relationships in cooperation with the Chugach management team to meet client objectives. The incumbent will also keep the supervisors apprised of unique situations and problems encountered. The individual will provide direct administrative support to the Task Order Manager and the subordinate staff as required, and will prepare reports, summaries and, and replies to inquiries, selecting relevant information from a variety of sources such as reports, documents, correspondence, other offices, etc. with little or no direction and will verify statistical reports for accuracy and completeness.

Responsibilities:

Essential Job Duties:

  • Able to do variety of tasks in a single day across multiple task orders.
  • Provide support in CEMS to set up and maintain vendor accounts for the BSSC Contract, including receiving/processing invoices.
  • Shall maintain repair, maintenance and alteration data and warranty records and enter the data in USMC MAXIMO prior to the end of each workday.
  • Complete a monthly summary of completed trouble calls and enter data in USMC MAXIMO.
  • Plan, organize work, and meet all deadlines.
  • Originate necessary documents, forms, reports, etc. and to query various computer work systems to extract information concerning projects, materials, or services.
  • Make arrangements for meetings, attend meetings as necessary, and report on the proceedings.
  • Ensure timely submission of required reports to the customer.
  • Utilize a module of an automated work management system to perform duties that interface with the other key users of the same system.
  • Willing to work days, evenings, and nights, overtime, weekends, and holidays as required.
  • Ensure proper housekeeping practices are strictly observed.
  • Perform other duties as assigned by supervision.
  • Accountable for meeting safety performance standards and completing all work safely.
  • Responsible for the timely reporting of accidents, injuries, “near miss” and hazardous situations.
Job Requirements:

Mandatory:

  • Minimum Three years of experience in administrative and office duties.
  • Proficiency in managing data in the USMC Maximo system.
  • Working knowledge in Microsoft Programs, including but not limited to: Word, Power Point, Excel and Access or equivalent software program.
  • Must have excellent communication skills, both oral and written.
  • Must have excellent organizational skills.
  • Mature judgment and ability to work with little or no supervision.
  • Must possess a High School Diploma or equivalent.
  • United States Citizen or eligible to work in the United States.
  • Must be able to read, write and speak English fluently.
  • Valid State Driver’s license with acceptable driving record.
  • Must be able to operate all office equipment such as telephones, copy machines, fax, printers, and computers.

Preferred:

  • Office management experience.
  • Understanding of Government Contracts, procurement, correspondence, reports, and records.
  • Associate degree.

Working Conditions:

  • Work is performed mostly indoors.
  • Work hours are subject to change, with overtime work as needed. Employee may be subject to hazards that may cause personal bodily harm; diseases, cuts, bruises, burns, common colds, influenza, dust, odors and elevated noise levels.
  • While performing duties of this job, the employee is occasionally required to stand and/or walk for long periods at a time, sit, use of hands and fingers, handle, or feel objects, tools or controls, reach with hands and arms, climb stairs, climb ladders, balance, stoop, kneel, crouch or crawl, talk or hear, or smell.
  • The employee must occasionally lift and/or move up to 20 pounds.
  • Specific vision abilities required by the job include close vision.

Physical Requirements:

  • Work is typically sedentary performed in an office setting.
  • Incumbent should be able to sit for extended periods of time.
  • Must be able to stand, see, walk, talk, hear and write.
  • Occasional lifting, handling, or shifting of objects weighing up to 35 pounds may be required.
