Description


The Service Writer supports the Equipment Division by managing service documentation, work order processes, and maintenance data accuracy. This position serves as a key coordination point between maintenance operations, equipment management, and data analytics to ensure work orders, compliance requirements, and maintenance records are complete, accurate, and timely. The role works closely with the Senior Equipment Manager and Data Analyst to ensure consistency, accuracy, and standardization of work order coding and task descriptions, translating technician input into high-quality maintenance data that supports reliability, cost control, and decision-making.

Key Responsibilities


  • Create, track, and manage equipment work orders within the CMMS from initiation through completion
  • Ensure all work orders meet documentation, compliance, and recordkeeping standards
  • Track maintenance events, corrective actions, and rework within the CMMS system
  • Research, validate, and reconcile incomplete or inaccurate maintenance records
  • Apply standardized job codes, failure codes, and support detailed task descriptions to all work orders
  • Ensure work orders accurately reflect labor, parts, failure modes, and corrective actions
  • Coach technicians on required work order detail and documentation expectations
  • Coordinate with maintenance personnel and equipment management to clarify the scope of work, priorities, and scheduling
  • Monitor recurring failures and rework trends, and support root cause analysis and continuous improvement efforts
  • Generate and distribute CMMS reports related to maintenance activity, downtime, rework, and compliance
  • Provide reporting and data support to the Data Analyst and Senior Equipment Manager
  • Assist with preventive maintenance scheduling and compliance tracking
  • Support parts usage tracking and ensure accurate association with work orders
  • Participate in safety meetings and support daily operational planning activities
  • Maintain organized electronic and physical service records
  • Coordinate and monitor daily timecard submissions for all hourly Equipment Division employees

Skills, Knowledge and Expertise


  • Minimum of 2 years of experience in a service writer, maintenance coordinator, or similar role
  • Experience working with CMMS platforms and maintenance workflows
  • General understanding of heavy equipment maintenance terminology and repair processes
  • Strong attention to detail with the ability to manage multiple work orders simultaneously
  • Ability to analyze maintenance data and produce clear, accurate reports
  • Ability to work effectively with field and shop personnel in fast-paced, high-accountability environments
  • Effective written and verbal communication skills
  • Strong organizational and time management skills
  • Proficiency with Microsoft Office or equivalent software tools
  • Valid driver’s license and driving record compliant with company MVR guidelines
