Project Coordination & Dispatch Specialist

Fully Remote (CST or EST Time Zones)

$29-$32 per hour

We're looking for a Project Coordination & Dispatch Specialist to support a growing portfolio of facilities by coordinating technicians, vendors, preventative maintenance, and service requests from start to finish.

What You'll Do

  • Coordinate and dispatch internal technicians and external service vendors for maintenance and repair requests.
  • Monitor incoming service requests and ensure they are acknowledged, assigned, and completed within established service timelines.
  • Schedule preventative maintenance across a portfolio of approximately 90 sites, with significant portfolio growth expected over the next two years.
  • Coordinate recurring inspections and ensure all required maintenance activities are completed on schedule.
  • Communicate technician and vendor arrival details to clients, including arranging site access, gate codes, and required permissions.
  • Track service requests from creation through completion, ensuring accurate documentation and timely follow-up.
  • Maintain detailed records of maintenance schedules, completed work, reports, and supporting documentation.
  • Review vendor findings and recommendations, escalating issues requiring additional repairs or follow-up.
  • Work closely with internal teams, field technicians, clients, and vendors to ensure clear communication throughout the service process.
  • Proactively identify scheduling conflicts, delays, or service risks and coordinate solutions to keep work on track.
