POSITION SUMMARY

The Service Coordinator serves as the internal administrative support for the Service Manager within the commercial roofing division. This role focuses on the paperwork and systems side of repair work, including estimate review, service billing, CenterPoint maintenance, and customer scorecards. The ideal candidate is highly organized, comfortable working in systems and software, and able to follow established protocols. Roofing knowledge is helpful but not required.

 

KEY RESPONSIBILITIES

Estimate Review & Approval

  • Review service estimates for completeness and accuracy prior to Service Manager approval
  • Coordinate the internal approval process to ensure estimates are ready to send to customers without delay
  • Track estimate status and follow up on outstanding approvals to keep the pipeline moving
  • Maintain accurate estimate records within CenterPoint Connect

Work Order Management & Documentation

  • Ensure 100% compliance on work order completion within the CRM system (CenterPoint Connect or similar)
  • Verify all required documentation is completed, including before/after photos, detailed scope notes, materials used, and labor tracking
  • Review submitted work orders for accuracy and completeness prior to close-out
  • Maintain organized digital records of work orders, service history, customer records, and warranties

Invoicing & Close-Out

  • Coordinate with the Service Manager to ensure all completed work orders are invoiced within 24-48 hours of job completion
  • Track open work orders and ensure timely progression from completion to billing
  • Assist with invoice review and customer follow-up as needed
  • Support collections communication when required

Customer Scorecards

  • Maintain and update customer scorecards to track service performance and satisfaction metrics
  • Compile scorecard data from completed work orders and service records on a regular cadence
  • Share scorecard summaries with the Service Manager to support customer retention and performance reviews
  • Flag any service issues or recurring concerns identified through scorecard review

Operational Support

  • Handle the administrative and paperwork side of repair work so the Service Manager can stay focused on the field
  • Keep CenterPoint Connect up to date with accurate job, customer, and work order data
  • Support internal reporting on service KPIs and share updates with leadership as needed
  • Assist with any additional administrative tasks that support efficient service operations

 

QUALIFICATIONS

Required

  • 2+ years of experience in an administrative, coordination, or office support role
  • Comfortable learning and working in software systems; ability to follow defined processes and protocols
  • Strong organizational and multitasking skills in a fast-paced environment
  • Excellent written and verbal communication and customer service skills
  • Experience with CRM systems (CenterPoint Connect or similar field service platform)
  • Proficiency in Microsoft Office (Excel, Outlook, Word)

Preferred

  • Familiarity with work order workflows, job costing, and field crew coordination
  • Experience supporting invoicing or billing processes
  • Bilingual (English/Spanish) a plus
