JOB SUMMARY:

  • The Service Coordinator schedules Service Technicians and facilitates communications between our customers and the Service department's various groups (Sales, Account Management, and Field Operations Management) to maintain commitments to our Service Support Program customers.
  • Ensure that customer calls for support are responded to and assist in the accounting processes related to parts sales and T&M billings.
  • Answer the telephone and e-mails from customers and Service Engineers and act as a conduit of communications between the various Service Department groups
  • Service Support Program planning and execution management for our service customers.
  • Financial responsibility will increase with tenure in this position, including use of ATS project management financial reports.
  • This is an exempt position.
  • Regularly interface with customers to ensure their needs are being met and ATS Rocky Mountain service work is providing recognizable value.
  • Prioritize and schedule Service Technicians' monthly, weekly and daily activities Manage documentation and records for service agreement customers. 
  • Plan Preventative Maintenance execution. 
  • Review Preventative Maintenance visit documentation and discuss with Service Engineer as necessary.
  • Service execution review meetings with customer. 
  • Maintain financial stability of service agreements while meeting customer expectations.
  • Review departmental financial reports for Service Agreements on a monthly basis.
  • Meet with management to review financial status of Service Agreements.
  • Excellent communications and interpersonal skills
  • Ability to plan and execute service strategies for high-profile building automation clients.
  • Strong communications and customer relationship management skills are a must.
  • Ability to work on mid to long-term projects and still react to unanticipated demands for your time (customer phone calls, dial-ups, etc.).
  • Strong time management and organizational skills.
  • Ability to work independently and unsupervised.
  • HVAC and/or mechanical systems experience.
  • Account management and/or project management experience.
  • Financial analysis and Excel skills.
  • Familiar with Microsoft Office suite of products as well as SharePoint and Dynamics.

CREDENTIALS AND EXPERIENCE

  • Prior receptionist and/or customer service experience
  • Ability to multi-task
  • Experience working in a high-paced, dynamic environment
  • An understanding of HVAC and/or Control systems is a plus
