Title: Senior Total Rewards & HRIS Specialist

Location: Oakland, CA or San Diego, CA (Hybrid)

Key Responsibilities

HRIS Administration & Optimization

  • Serve as the primary administrator and subject matter expert for the organization's HRIS platform.

  • Manage system configurations, security roles, permissions, workflows, and user access.

  • Audit current system processes and identify opportunities for optimization and automation.

  • Build, test, and deploy automated workflows to improve efficiency and reduce manual processes.

  • Manage system updates, enhancements, testing, and implementation of new functionality.

  • Create and maintain system documentation, process maps, and user guides.

  • Partner with leadership to develop and execute a strategic HRIS enhancement roadmap.

Benefits & Total Rewards Administration

  • Administer employee benefit programs including medical, dental, vision, life insurance, disability, and retirement plans.

  • Serve as the primary liaison with benefit carriers, brokers, consultants, and third-party administrators.

  • Coordinate employee enrollments, life event changes, qualifying event processing, and terminations.

  • Lead annual Open Enrollment planning and execution, including employee communications, system configuration, testing, and carrier coordination.

  • Monitor benefit plan competitiveness and provide recommendations to leadership regarding program enhancements.

  • Respond to employee inquiries regarding benefits, eligibility, enrollments, and plan administration.

Compliance & Risk Management

  • Ensure compliance with applicable federal and state regulations including ACA, COBRA, ERISA, HIPAA, ADA, FMLA, and Section 125 requirements.

  • Support preparation, auditing, and submission of compliance reporting and required notices.

  • Assist with internal and external audits related to employee data, benefits, and HR operations.

  • Maintain accurate records and documentation to support compliance and regulatory requirements.

Data Management, Reporting & Advanced Excel Analysis

  • Utilize advanced Excel functions including Pivot Tables, VLOOKUP/XLOOKUP, formulas, data validation, and reporting tools to analyze HR and benefits data.

  • Create recurring and ad hoc reports, dashboards, and workforce analytics for HR leadership and business partners.

  • Reconcile monthly benefit invoices and investigate billing discrepancies.

  • Perform ongoing audits to ensure employee data accuracy, consistency, and completeness.

  • Analyze trends, identify data discrepancies, and recommend corrective actions.

  • Support regulatory reporting including ACA, EEO-1, and other workforce reporting requirements.

Integrations & EDI Management

  • Manage HRIS integrations and electronic data exchanges with benefit carriers and external vendors.

  • Monitor EDI feeds and troubleshoot transmission errors or data discrepancies.

  • Validate enrollment data, eligibility files, and demographic information to ensure accurate data flow between systems.

  • Coordinate testing, implementation, and ongoing maintenance of integrations and carrier connections.

  • Ensure data privacy and security standards are maintained for all employee information exchanges.

Cross-Functional Partnership & Support

  • Partner closely with HR, Finance, Payroll, and operational leaders to improve processes and system effectiveness.

  • Gather business requirements and translate them into system solutions.

  • Train HR team members and end users on HRIS functionality, reporting tools, and best practices.

  • Provide ongoing support and troubleshooting for HRIS-related issues.

  • Manage vendor relationships and serve as the primary escalation point for system-related concerns.

Qualifications

Required

  • 5+ years of progressive HRIS, Benefits, Total Rewards, HR Operations, or HR Technology experience.

  • Hands-on experience administering and optimizing an HRIS platform.

  • Strong benefits administration experience, including Open Enrollment and carrier management.

  • Advanced Microsoft Excel skills, including Pivot Tables, XLOOKUP/VLOOKUP, reporting, and data analysis.

  • Experience developing workflows, process improvements, and automation solutions.

  • Experience auditing data and maintaining high levels of data integrity.

  • Strong analytical, project management, and problem-solving abilities.

  • Excellent communication and stakeholder management skills.

Preferred

  • Experience with UKG Pro, UKG Ready, or comparable HRIS platforms.

  • Experience managing EDI integrations with benefit carriers.

  • HRIS implementation, optimization, or system enhancement experience.

  • SHRM-CP, SHRM-SCP, PHR, SPHR, CEBS, or related certifications.

  • Experience in nonprofit, healthcare, behavioral health, human services, or mission-driven organizations.
