Job Title: Senior Process & Operations Lead, Studio Operations

Job Description:
We are looking for a Senior Process & Operations Lead to design and run the operational backbone of our in-house medical content studio: intake, prioritization, workflow, capacity, review routing, and delivery. You will bring lean process management discipline to a creative environment building systems that make the work faster and more predictable without flattening the creative process.
What You'll Do
  • Design and implement the studio's end-to-end operating model: intake and briefing, prioritization, resourcing, production workflow, review routing (including MLR), and delivery.
  • Map current-state processes, identify bottlenecks and waste, and lead continuous improvement using lean methods (value stream mapping, root cause analysis, kaizen-style iteration).
  • Define and track studio metrics: cycle time, throughput, capacity utilization, review pass rates, SLA adherence, and stakeholder satisfaction.
  • Build capacity planning and resourcing models that let studio leadership forecast demand and make staffing decisions with data.
  • Optimize the interface between creative production and MLR review reducing rework loops, improving submission readiness, and shortening time-to-approval.
  • Select, configure, and administer workflow tooling (project management platforms, intake forms, dashboards) and integrate with content systems such as Veeva Vault PromoMats.
  • Create SOPs, playbooks, and RACI documentation so the studio's ways of working are explicit, teachable, and scalable.
  • Act as the operational partner to studio leadership: surface risks early, run status and capacity reviews, and keep delivery commitments honest.
What You Bring
  • 5 8 years in operations, process management, or program management roles, ideally within creative production, marketing operations, or a regulated industry.
  • Hands-on experience with lean process management, Six Sigma, or comparable continuous improvement methodologies (certification a plus, results a must).
  • Track record of designing workflows and operating models from scratch not just running existing ones.
  • Strong analytical skills: comfortable defining metrics, building dashboards, and using data to drive prioritization and improvement decisions.
  • Experience with project and workflow management tools (e.g., Workfront, Asana, Monday, Airtable, Smartsheet) and an instinct for right-sizing tooling to team maturity.
  • Excellent facilitation and change management skills; able to bring creative teams and cross-functional stakeholders along rather than imposing process on them.
Nice to Have
  • Experience in pharma/biotech marketing operations or familiarity with MLR review workflows.
  • Familiarity with Veeva Vault PromoMats or similar regulated content systems.
  • Experience supporting in-house agencies or creative studios specifically.
  • Exposure to agile or hybrid delivery models in content production environments.
