Job Summary:

Requires a Senior Planner/Event Facilitator lead expertise of full lifecycle of planning, coordinating, and executing high‑visibility meetings, conferences, events, and stakeholder engagements. This role provides strategic planning support, logistical oversight, and on‑site facilitation to ensure events are delivered with precision, compliance, and exceptional participant experience. The Senior Planner serves as the primary liaison between leadership, vendors, and internal teams, ensuring alignment with mission objectives and organizational standards.

Responsibilities:

  • Conducts comprehensive requirements analysis to define event scope, objectives, deliverables, and success criteria.
  • Develops event strategies aligned with organizational priorities, stakeholder needs, and federal or agency‑specific guidelines.
  • Advises executives on event formats, engagement models, and communication approaches.
  • Creates detailed project plans including timelines, milestones, budgets, staffing, and resource allocations.
  • Leads cross‑functional planning teams and coordinates all pre‑event activities.
  • Develops agendas, run‑of‑show scripts, facilitation guides, and briefing materials for leadership.
  • Manages venue selection, room layouts, AV/IT requirements, security coordination, and accessibility needs.
  • Oversees vendor management (catering, audiovisual, printing, transportation, lodging).
  • Ensures all logistical elements meet compliance, safety, and quality standards.
  • Serves as the primary on‑site facilitator, ensuring smooth execution of all event components.
  • Provides real‑time problem solving, stakeholder support, and schedule management.
  • Leads registration, attendee flow, speaker coordination, and session transitions.

Education/Certifications:

  • Minimum of 10 years of experience in event planning, event supervision, and event facilitation
  • Must have a bachelor's degree
  • Ability to perform administrative duties such as preparing quality documents, reports and slides and coordinating briefings, conferences, teleconferences, telephone inquiries, meeting preparation, attendance and minutes
  • Ability to manage time and events effectively
  • Must have Microsoft Office (Word, Excel, PowerPoint) experience in preparing, editing and finalizing correspondence, documents and briefings

Required Qualifications:
