Description:

 

This senior level position will manage the Department's Graduate, Undergraduate and/or Continuing Medical Education
programs. The position will report to the Division Administrator or Program Director. The principal type of work includes the implementation and maintenance of complex policies, procedures, fiduciary oversight and program administration at the University of Florida College of Medicine at Jacksonville. Regulatory, accreditation and operational components of
Graduate Medical Education are essential components of this position. Departmental administrative responsibilities are
included in this position, such as physician recruitment related activities for searches, credentials, promotion and tenure
compliance with the administration office, along with licensure documentation.

Collaborates with the Division Administrator and/or Program Directors and University's Office of Educational Affairs (OEA)
in assuring full compliance with the Accreditation Council for Graduate Medical Education (ACGME) Institutional
Requirements and Program Requirements for all programs. Supervises/assists with development of strategies to achieve
compliance. Develops and maintains data for ACGME's accreditation system (WebADS), Residency Review Committee site visits and Self-Study process.

 

Prepare and process Physician recruitment related activities for searches, staff appointments, credentials, promotion and
tenure compliance with administration office. Ensures travel reimbursement/expenses for faculty are submitted in a timely
fashion by support staff. 

 

Performs all other duties as assigned by management within the department job scope.

 

Collaborates with the Division Administrator and/or Program Directors and University's Office of Educational Affairs (OEA)
in assuring full compliance with the Accreditation Council for Graduate Medical Education (ACGME) Institutional
Requirements and Program Requirements for all programs. Supervises/assists with development of strategies to achieve
compliance. Develops and maintains data for ACGME's accreditation system (WebADS), Residency Review Committee site visits and Self-Study process.

 

Supervises all aspects of the educational programs, including didactic conferences, evaluations, duty hours, and
appropriate policies and procedures relevant to the ACGME and University requirements. Collaborates with Division
Administrator and/or Program Directors with annual program evaluation and reporting to ACGME. Monitors and ensures
that residents/fellows have met institutional requirements for compliance, clinical applications and all other mandatory
training activity.

 

Responsible for maintenance of resident and fellow personnel records, to include the coordination and maintenance of

resident and fellow evaluations in accordance with ACGME requirements. Responsible for the maintenance of alumni
data, including personnel files and verification of credentials.

 

Responsible for fellowship and/or residency programs recruitment process utilizing the Electronic Residency
Application Service (ERAS). Adheres to University policy on resident eligibility and selection and associated attestations.
Collaborates with Division Administrator and Office of Educational Affairs in completing fellow personnel actions: 
new appointment, reappointments and courtesy appointments, resident and fellow terminations and clearance, and final letters of performance, in accordance with University policy

 

Sole responsibility for maintaining program database including schedules, rotation definitions, duty hours,
procedure logging, conference attendance, milestone reviews and evaluations. Responsible for analyzing and preparing
data for use by the Clinical Competency Committee and Program Director, for the purpose of determining ACGME
Milestone progression, promotion, remediation and training completion

 

May be responsible for coordination of continuing medical  education (CME) program, including procuring speakers,
completion of regularly scheduled series application, and reporting of CME credits, following regulations and policies.
Collaborate with telemedicine for delivery to multiple sites and maintenance of enduring materials website

 

Responsible for preparing check requests, updating and maintaining GME financial account. Oversees the
coordination and documentation of all meetings concerning the Residency/Fellowship Program. Oversees leave requests,
maintains leave audit according to university policy. Ensures data is maintained on all ECFMG, VISA information. Provides
orientation materials and educational sessions to incoming residents and fellows. Initiates all affiliation agreements and
program letters of agreement, in compliance with ACGME regulations.

 

Provide administrative support to the department with regard to operational and financial management. Maintains
appropriate records, required documentation, and employee files, including physician credentials and licensure
documentation.

2 years-GME management

 

Education:

 

Bachelors preferred
Training Administrators of Graduate Medical Education (TAGME) required within 1 year

 

Travel:

 

Up to 10%
